    The Nursing Department at Farmingdale State College seeks to fill a part-time Office Assistant 1 vacancy. The incumbent will be responsible for, but not limited to, the following responsibilities:

     

    General Office Support

     

    + Answer department phones, manage the departmental email account, and respond to inquiries.

    + Handle incoming and outgoing mail.

    + Organize and maintain departmental files and records.

    + Coordinate with the Registrar's Office on forms, schedule updates, and faculty teaching assignments.

    + Facilitate onboarding of new faculty/adjuncts (including setting up FSC email and RamID).

    + Process purchase orders, invoices, and submit appointment notices.

    + Retrieve, route, and track departmental forms for signatures and approvals.

    + Post and update faculty office hours and maintain hallway bulletin boards.

    + Schedule meetings, book rooms, and submit work orders as needed.

    + Order and maintain office supplies and materials.

    + Provide clerical support, including copying, scanning, and scheduling assistance.

     

    Student Registration & Advisement Support

     

    + Assist students with registration-related questions and processes.

    + Respond to student inquiries and direct them to appropriate campus resources (Registrar, Advising, Financial Aid, etc.).

    + Send correspondence on behalf of the department, chair, or academic coordinator.

    + Faculty & Department Support

    + Provide administrative support to the department chair, academic coordinator, and faculty members.

    + Assist with onboarding and orientation of new faculty and adjuncts.

    + Coordinate faculty assignments in collaboration with Registrar and departmental leadership.

     

    Departmental Events

     

    + Assist with planning and coordination of departmental events such as Advisory Board meetings, Pinning Ceremonies, Chi Gamma events, workshops, and other special events.

    + Handle logistics including communication, scheduling, catering, and room setup.

     

    This title is part of the New York State Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

     

    There is no examination required for appointment to a NY HELPS position.

     

    If hired, a non-competitive appointment will be made. At a future date (within one year of permanent appointment), it is expected that NY HELPS employees will have their non-competitive employment status converted to competitive status, without having to take an exam. Employees will then be afforded all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

     

    Transfers from other New York State agencies are welcome to apply. Applicants may also be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 6 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

    Job Requirements:

    MINIMUM REQUIRED QUALIFICATIONS:

    There are no minimum education or experience requirements for this title.

    ADDITIONAL PREFERRED QUALIFICATIONS:

    + College degree.

    + Prior administrative support experience, preferably in higher education.

    + Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn institutional software systems.

    + Excellent organizational, communication, and interpersonal skills.

    + Ability to manage multiple priorities, meet deadlines, and work both independently and as part of a team.

    + Strong attention to detail and a professional, service-oriented approach when working with students, faculty, staff, and external partners.

    Additional Information:

    This is a part-time Civil Service position.

     

    + Hiring procedures in accordance with NYS Civil Service Law.

    + Grade 6 50% Salary: $18,116/year

    + Expected to work 18.75 hours per week.
