    Description

    The Goizueta Business School'sExecutive Education Team (https://goizueta.emory.edu/executive-education) is in search of a Senior Program Coordinator to support the delivery of a wide range of non-credit and professional development programs and events—up to 50+ sessions annually. This role is instrumental in conveying the Goizueta brand through exceptional customer service and meticulous attention to detail, ensuring a positive and memorable experience for all clients. Responsibilities include executing program project plans, preparing materials, and overseeing logistical support during sessions. The position requires extensive collaboration with internal stakeholders such as faculty and departmental teams, as well as engagement with an international audience of business professionals. The Sr. Program Coordinator will also liaise with instructors, university units, external clients, and program participants to ensure seamless program execution.

    EVENT PLANNING AND LOGISTICS:

    + Collaborates with staff and clients to support the establishment of event goals and objectives; develops and recommends event operating procedures.

    + Creates task assignments to support the overall project plan developed by program leadership.

    + Manages event planning timelines assigned by the Director and provides weekly report on status of assigned items to the Director of Operations.

    + Identifies non-financial resources needed to execute event.

    + Determines fiscal requirements for events, prepares budgetary recommendations, and negotiates terms with vendors to deliver the program within the net contribution margins agreed to in the program plan.

    + Manages enrollment registrations through the designated EEE system(s) (Salesforce) for individuals and institutional clients.

    + Oversees and facilitates event briefing and coordination of speakers/presenters.

    + Provides leadership, direction, and coordination among faculty and speakers during event program/production.

    + Serves as the primary participant contact for assigned programs for the duration of the event. Serves as an alternate participant contact for other programs as needed.

    + Helps with set-up and program delivery on day-of event.

    + Manages all communication to participants for assigned programs. Serves as an alternate for other programs as needed.

    + Balances high-quality participant-facing activities along with myriad administrative tasks.

    + Update contacts and informational notes from program delivery to help in future improvements.

    SERVICE (INTERNAL AND EXTERNAL CLIENTS):

    + Works to enrich client experiences through all activities.

    + Effectively and professionally communicates with internal and external clients (special requests, registration changes) via email, phone, and during programs.

    + Writes clear, concise, and professional responses to clients' and faculty’s inquiries.

    GENERAL:

    + Seeks out innovative and creative ideas for events through research, networking, and continuing education classes.

    + Contributes to positive relationships within the team through behaviors of trust, inclusion, open communications, and commitment to the success of all colleagues.

    + Contributes to process and business improvement projects by observing and evaluating existing processes, anticipating, and supporting client and faculty needs, and continuously seeking efficiency.

    KEY RESPONSIBILITIES:

    + Designs, implements, and coordinates operational facets of a specific program.

    + Develops strategic plans and objectives that ensure the program's continued success, and develops evaluation methods to assess outcomes.

    + Conducts program research and ensures that the preparation of mandatory operational, statistical, and financial reports are accurate and factual, and that all reports comply with federal and state regulations and/or institutional policies.

    + Designs training programs and materials, conducts training sessions, and represents the program at various conferences, meetings, or seminars.

    + May plan, administer, or monitor the program's budget and/or grants, and conduct financial forecasting for the program.

    + May develop fundraising programs, including researching and identifying funding sources, and writing and submitting grant proposals.

    + Serves as a liaison to and interacts with other groups and organizations participating in the program or seeking knowledge of the program; may write and present speeches.

    + Maintains complete and accurate program records.

    + May serve on or chair various University committees.

    + May supervise program staff, interns, and/or volunteers.

    + Performs related responsibilities as required.

    MINIMUM QUALIFICATIONS:

    + A bachelor's degree in a field related to specified program areas and five years related program management experience, or an equivalent combination of experience, education, and training.

     

    NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
