    POSITION DETAILS

    BMCC seeks a Timekeeping and Leave Coordinator with creative problem-solving skills, who will be responsible for analyzing, processing, and tracking classified civil service employees’ time and attendance records, accruals, absences and leaves. Reporting to the Human Resources Manager or their designee, the Timekeeping and Leave Coordinator performs comprehensive timekeeping calculations to ensure fulltime employees’ leave usage and balances comply with employment laws, University policies, and collective bargaining agreements. They will also oversee the hourly employees’ timesheet submission and ensure performance evaluations and Personnel Action Forms (PAF) are submitted by the deadline.

    In addition to the position summary above and CUNY Title Overview below, other key duties include, but will not be limited to the following:

    - Collects, reviews, and processes all fulltime weekly timesheets within Kronos, PMS, and Excel timecards.

     

    - Oversees the hourly timesheet processing of weekly timesheets in CUNYfirst, and PMS.

     

    - Analyzes classified civil service full and part-time employees’ eligibility for various leave entitlements and provisions based upon written policies, existing collective bargaining agreements, and established procedures.

     

    - Calculates leave accrual rates and updates employees’ leave balances.

     

    - Validates timesheets and leave request forms, and reconciles records for final approval, discrepancies and supporting documentation to ensure leave processing is completed by the Kronos entry and payroll submission deadlines.

     

    - Coordinates the timely processing of leave calculations and payments with Benefits and Payroll staff.

     

    - Regularly run reports to ensure hourly records are updated, particularly around mass termination periods.

     

    - Participates in creating, implementing and conducting training presentations on timekeeping processes and procedures.

     

    - Assist with inquiries regarding payment discrepancies, timesheet errors, and missed timesheet submissions for hourly employees to ensure accurate and timely payroll processing.

     

    - Participate in projects to improve and expedite the hourly timesheet submission process.

    QUALIFICATIONS

    MINIMUM QUALIFICATIONS

    - Bachelor's Degree required.

    PREFERRED QUALIFICATIONS

    - Two years of automated or manual timekeeping, payroll or accounting processing experience in a public organization.

     

    - Strong data entry, computational, and analytical skills to perform complex calculations in Excel and queries in PS Query with speed and accuracy.

     

    - Experience using PeopleSoft HRIS, NYS or NYC payroll and time and attendance systems, or other similar systems (Kronos, ADP, Workday, City Time, PayServ, PMS).

     

    - Experience analyzing, understanding and applying time and attendance rules, collective bargaining agreements and personnel rules and regulations to timekeeping and payroll transactions.

     

    - Knowledge of CUNY or SUNY plus current local, state and federal laws pertaining to wages, hours, payroll and leave administration (FLSA, FMLA).

     

    - Strong note taking, proofreading and auditing skills; meticulous detail orientation and accuracy with exceptional critical analysis, research and evaluation skills.

     

    - Proactive and flexible with strong time management and organizational skills to prioritize work, manage a large and varied workload with competing deadlines, follow up and complete work within time and resource constraints.

     

    - Professional integrity and credibility to work discreetly on sensitive assignments, exercise sound judgement, and manage confidential information in a confidential and time-sensitive office.

     

    - Collegial and customer-service oriented with strong interpersonal, presentation, relationship-building, and teamwork skills to work effectively across diverse departments and stakeholders.

     

    - Computer proficiency using web-based HRIS, payroll, financial and administrative systems; MS Office Suite, SharePoint, Dropbox, plus virtual meeting/conferencing and collaboration tools (MS Teams, Zoom).

    CUNY TITLE OVERVIEW

    Provides information and services to the College community to support the Human Resources function.

     

    - Prepares and executes various personnel transactions involving employee recordkeeping, processing of new hires, pay administration, and recruiting

     

    - Maintains an understanding of policies, procedures, regulations, and collective bargaining agreements relevant to human resources

     

    - Organizes and processes employee information; develops and maintains reports and queries; assures data accuracy and completeness

     

    - Responds to requests for information; troubleshoots issues, follows up and responds to employee inquiries

     

    - Assists HR managers with employee communications of all kinds; may prepare materials, conduct orientation sessions, or update web pages

     

    - Performs related duties as assigned.

    COMPENSATION AND BENEFITS

    Salary range is $48,647 - $52,426; Salary commensurate with education and experience.
