What We Want
The Administrative Coordinator I performs administrative and academic support duties to advance the Energy Institute’s education program and other initiatives, preparing and composing correspondence, maintaining administrative and academic records, and assisting in student recruiting, advising, and retention efforts. Works under general supervision and provides administrative support for a unit or specialized activity including the exercise of discretion and independent judgment concerning matters of significance.
Qualifications
Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience.
+ Two years of administrative experience
Required Knowledge, Skills, and Abilities
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Ability to multitask and work cooperatively with others.
+ Interpersonal and communication skills.
+ Planning and organization skills.

Responsibilities
+ General/Administrative- Participates in the planning and execution of administrative operations. Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor. Applies and interprets, and/or assists in implementing operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures. May monitor compliance with policies and procedures. Coordinates the maintenance of files and records. Makes recommendations for process improvements, administrative changes, or new initiatives. Hires, trains, and supervises student workers and support staff. May coordinate activities and assign work to student workers. Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Creates and maintains spreadsheets and databases. Prepares vouchers, purchase orders and requisition and coordinates with accounting personnel and other support staff.
+ Academic Program Support- Works under general supervision and provides administrative support for academic processes to ensure efficient operation of the organization’s degree and certificate programs. Assists with student recruitment and recruiting communications, admissions processes, and student retention for degree and certificate programs, and maintains relationships with program alumni. Advises students on academic processes, reviews student records, and tracks student progress toward the degree or certificate. Assists with the organization, scheduling, setup, and progress of academic courses. Provides general program guidance to prospective students and responds to inquiries regarding program offerings for both students who are pursuing courses in person, as well as distance-based students. Assists in the planning and implementation of events and activities to enhance student learning and development. Assists in the development, maintenance, and distribution of program materials Analyzes requirements for projects or initiatives. Prepares program statistics, records, databases, and communications. Assists with program reviews, assessments, presentations, and evaluations. Coordinates with relevant university offices on course, instructor, and student evaluations and other documentation. Responsible for time-sensitive material. Effectively communicates via phone and email ensuring that all duties are completed accurately and delivered with high quality and on time.
