What we want
The Rural Graduate Medical Education (GME) Coordinator for the Graduate Medical Education Office works under direct supervision of the Director, Rural GME Operations and assists in a full range of administrative activities for the Office. Creates and maintains office schedules, manages communications, orders supplies, coordinates meetings and events, provides administrative support and coordination for the rural GME office, assists residency program administration with administrative tasks, and coordinates the implementation of office policies and procedures.
What you need to know
Schedule: Position’s working hours are primarily Monday-Friday, 8am-5pm; some after-hours and weekend work may be required; travel to health systems within the surrounding area and to other College of Medicine campuses may be required.
Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience.
+ Three years of related experience in office administration, office coordination or project support.
Preferred Qualifications
+ Bachelor’s Degree
+ Five (5) years of experience in office administration or office coordination, preferably in education or healthcare
+ Experience in medical education or undergraduate education program coordination, healthcare management or operations, business administration, or education administration
+ Previous TAMU experience
+ Experience with conference, event planning and/or project management
+ Experience working with faculty, staff, students and physicians
Knowledge, Skills, and Abilities
+ Ability to work cooperatively with others.
+ Knowledge of word processing, spreadsheet, database, and presentation applications.
+ Excellent interpersonal and communication skills.
+ Effective planning and organization skills.
+ Ability to travel independently to other and/or remote locations by driving.
Responsibilities:
Administrative Support Coordination
+ Coordinates administrative support functions.
+ Plans and coordinates administrative activities and services.
+ Serves as assistant to the Director, Rural GME Operations which includes creating general office correspondence, reviewing documents, managing calendars and schedules, coordinating and planning meetings and events, completing routine reports and attending meetings or committees on behalf of supervisor.
+ Monitors office procedures to eliminate duplication of effort and to streamline flow of operations and ensures adherence to office protocols.
+ Provides administrative support to residency program administration in rural facing residency programs and/or rural track programs.
+ Assists in the process for obtaining/maintaining initial/continued ACGME accreditation for rural facing residency programs and/or rural track programs.
+ Administers and coordinates affiliate faculty portal activities for the Graduate Medical Education division of the Department of Medical Education.
+ Administers contract routing, approval process tracking, and signature execution. Coordinates such activities with the Vashisht College of Medicine’s contract administrators.
+ Coordinates travel arrangements and prepares itineraries.
+ Plans and coordinates travel and special events.
+ Coordinates the maintenance and ordering of office supplies and equipment.
+ Prepares and reviews operational and special reports.
+ Coordinates office records retention and maintains office references and resource materials.
+ Makes recommendations for process improvements or administrative changes.
+ May serve as office manager, supervising, training, and evaluating the work of others.
Compliance and Policy Implementation
+ Develops and maintains knowledge and understanding of relevant state, ACGME, NRMP, ERAS and other GME related requirements and guidelines.
+ Analyzes incoming inquiries and provides proper instructions for resolution.
+ Coordinates with external departments for compliance when necessary.
+ Ensures the integrity of data by monitoring submissions and identifying issues.
+ Applies and interprets, and/or assists in implementing management policies or operating practices.
+ Develops administrative and technical procedures.
+ Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
+ Monitors compliance with policies and procedures.
+ Resolves complex, highly sensitive and confidential administrative matters; responds to information requests timely.
Communication and Stakeholder Engagement
+ Serves as a primary point of contact for inquiries related to Rural GME administration.
+ Responds to non-routine requests regarding state policies.
+ Consults with colleges and departments on best practices related to GME.
+ Prepares and takes minutes at meetings. Provides agendas and staffing assistance to meetings. Prepares presentation and communication materials for meetings.
+ Manages correspondence and communications for the office; this includes managing and evaluating incoming mail, correspondence and inquiries, and distributing with instructions on action items as needed.
+ Provides administrative support to Office of Graduate Medical Education, Vashisht College of Medicine faculty, and other departmental leaders.
+ Maintains campus, departmental, and office webpages.
+ Provides administrative support, planning, and coordination of departmental events.
Special Projects and Reporting
+ Performs special analyses and project summaries.
+ Analyzes requirements for projects or initiatives.
+ Provides technical information regarding administrative procedures, services, or programs.
+ Plans and coordinates meetings, seminars, specialized activities or projects, and other special events including logistical and administrative support.
+ Support functions in special projects to include faculty appointment process, human resource correspondence, financial processing, faculty recruitment, and grant preparation.
+ Performs other duties as assigned.
