Position Profile
Perform in a senior-level capacity to create and maintain a professional image of the company by providing prompt, courteous, and efficient service to visitors, guest employees, and telephone callers. Responsibilities include taking and relaying messages, performing various light administrative duties, and managing mail and package processing.
Job Duties and Responsibilities
+ Greet visitors, ask them to sign in, issue Visitor Badges, and process wireless network accounts for Headquarters, if applicable. Notify the employee the visitor is scheduled to meet.
+ Activate access for temporary badges for Headquarters employees who forgot, lost, or have malfunctioning badges.
+ Answer and properly route global calls—some confidential in nature—using the company-wide switchboard. Provide appropriate information to callers in a professional, friendly, and efficient manner.
+ Prioritize calls and escalate customer service issues through the proper chain of command.
+ Maintain and update company phone and speed dial lists.
+ Train and guide backup receptionists on policies and procedures.
+ **Mail and Package Processing** :
+ Notify employees upon receipt of inbound deliveries or route deliveries to the Mail Room as appropriate.
+ Manage mail and package handling, which constitutes a significant portion of daily front desk operations.
+ Ensure timely sorting, distribution, and follow-up on deliveries.
+ Provide light administrative support to Headquarters staff, including issuing facility access cards, scheduling meeting rooms, and assisting with tasks such as envelope labeling and manual compilation.
+ Proactively seek out additional work during downtime.
+ Follow up on loaned access cards to ensure all are returned; contact Security if cards are not returned by end of day.
+ Build professional relationships with customers and internal teams.
+ Maintain a neat and orderly reception area, including visitor reading materials.
+ Perform other duties as assigned by the Site Manager.
Qualifications (Education, Experience, and Certifications)
Typically Required:
+ High school diploma required.
+ Experience working in a Headquarters environment preferred.
+ 8+ years of experience as a receptionist in a busy switchboard environment preferred.
+ Typing speed of 40 WPM.
+ Flexibility to work hours between 7:00 AM and 5:00 PM (typically an eight-hour shift).
Knowledge, Skills, and Abilities
+ Strong verbal and written communication skills.
+ Demonstrated customer service and relationship-building skills.
+ Proficiency in PC applications.
+ Basic clerical and secretarial skills.
+ Ability to handle high-volume telephone calls.
+ Strong organizational and judgment skills.
Working Conditions, Mental and Physical Demands
+ Office environment with adequate lighting, ventilation, and normal temperature and noise levels.
+ Diversified work assignments requiring interpretation and application of complex material and instructions.
+ Minimal physical effort; mostly sedentary work with occasional walking, standing, bending, and lifting (typically under 10 lbs.).
+ Moderate dexterity required for regular use of keyboard, calculator, and other office tools.
