Senior Administrative Assistant (Part-Time, 2-Month Assignment)
Duration: November – December
About the Role:
The Robert Toigo Foundation is seeking a highly organized and proactive Senior Administrative Assistant to provide direct support to leadership during a busy two-month period. This role will focus on managing communications, preparing documents and presentations, and assisting with event production.
Key Responsibilities:
+ Manage calendars, coordinate meetings, and schedule appointments.
+ Handle communication management including phone calls, email correspondence, and information distribution.
+ Prepare and edit documents, reports, and presentations (PowerPoint).
+ Make travel arrangements and handle related logistics.
+ Support planning and execution of upcoming events and special projects.
+ Maintain accurate records and ensure smooth administrative operations.
Requirements
• Possession of a Bachelors / Honours Degree in a relevant field
• Minimum of 3 years of experience in a similar role within a non-profit organization
• Proficient in Microsoft Excel for data management and analysis
• Familiarity with HubSpot for managing donor relations and campaigns
• Prior experience in financial services, demonstrating a strong understanding of budget management and financial reporting
• Knowledge of Computer Science Information System, showcasing a strong technical acumen
• Holder of a University Degree, indicating a well-rounded educational background
• Experience in working with educational institutions, highlighting an understanding of their unique needs and challenges
• Skilled in Database Administration, ensuring efficient management and retrieval of donor dataRequired Skills & Qualifications:
+ Proven experience as a Senior Administrative Assistant or similar support role.
+ Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
+ Excellent written and verbal communication skills.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
+ Professionalism, attention to detail, and a proactive approach to problem-solving.
