Job Description
As a Talent Acquisition Coordinator, you will provide critical recruiting support to the Talent Acquisition function by managing expectations and requirements of candidates, recruiters, hiring managers, and other stakeholders. You will ensure that all recruitment activities progress effectively and efficiently, while updating key stakeholders as needed. Embedded within a set of technology stakeholders and a recruitment delivery team, your role is pivotal in maintaining the flow and integrity of the recruitment process.
Responsibilities
+ Partner with recruiters, hiring managers, interviewers, and candidates to schedule interviews.
+ Coordinate availability for interviews, including room, video, phone, and MS Teams details.
+ Reschedule interviews as needed and prioritize incoming requests against current workload.
+ Ensure prompt and professional communication with all stakeholders throughout the recruitment process.
+ Facilitate T&E request and reimbursement process for candidate interviews.
+ Serve as a specialist for Talent/Super Days.
+ Act as the primary point of contact for candidates throughout the recruitment process.
+ Welcome and escort candidates for onsite interviews, when applicable.
+ Manage ad-hoc issues such as scheduling conflicts, delays, and interviewer no-shows.
+ Attend and participate in debrief calls, when applicable.
+ Ensure compliance with established processes and procedures.
+ Collaborate with the broader/global Talent Acquisition team on other initiatives and projects.
+ Schedule 15–20 interviews per day, potentially up to 30–35 for one-on-ones.
+ Coordinate virtual and onsite interviews, including one-on-ones, panels, multi-panels, and Super Days/Batch Days.
+ Escort candidates during onsite Super Days or hiring events.
+ Manage candidate travel reimbursements, handling initial logistics.
+ Handle reschedules, cancellations, delays, and technical issues.
+ Use ATS (Smart Recruiters transitioning to Workday) for scheduling.
+ Add CodeSignal links for technical interviews and manage access via a ticketing system.
+ Prioritize and manage high-volume inbox traffic.
+ Maintain compliance with hiring practices (e.g., OFCCP).
Essential Skills
+ 1–2 years of high-volume scheduling experience in a corporate setting.
+ Strong skills in Microsoft Outlook, Word, and Excel.
+ Experience with ATS platforms, such as Smart Recruiters or Workday.
+ Ability to learn new tech tools quickly.
+ Experience coordinating tech and non-tech interviews.
+ Willingness to work from 8:30 AM–5:30/6:00 PM CST to support Pacific Time teams.
+ Recent experience in recruiting coordination within the last 2 years.
Additional Skills & Qualifications
+ Corporate recruiting coordination experience preferred.
+ Experience in high-pressure, fast-paced environments.
+ Familiarity with compliance-heavy organizations, e.g., OFCCP.
+ Preferred familiarity with SmartRecruiters, HRIS, and applicant tracking systems.
+ Experience with Super Days/Batch Days.
+ Familiarity with CodeSignal.
+ Prior experience with Workday.
+ Strong attention to detail.
+ Excellent written and verbal communication skills.
+ Ability to work under pressure and manage shifting priorities.
Work Environment
This is a hybrid role based in the Austin office, requiring in-office presence on Tuesday, Wednesday, and Thursday, with the option to work remotely on two other days. The work schedule is structured to support teams operating in the Pacific Time zone.
Job Type & Location
This is a Contract position based out of Austin, Texas.
Pay and Benefits
The pay range for this position is $17.00 - $20.00/hr.
