The School of Medicine's** **_Division of Hematology_** **_and Oncology_** **has an outstanding opportunity open for a** **_Temporary_** **Fiscal Specialist 1.
This position provides assistance to the Renal/Melanoma Research Program by completing identified fiscal functions for the Division of Hematology and Oncology. This position reports to the Program Operations Specialist.
The Renal/Melanoma clinical research program has an annual operating budget of $3.6 million, 5 faculty and 16 research and administrative staff. At any given time, the program has over 25 open studies with over 70 enrollees, which generates critical research funding and discovery mechanisms as well as bringing much-needed investigational treatments to oncology patients with few or no other options.
Duties and Responsibilities
+ Assist with and coordinate procurement, such as PO, non-PO, and supply orders
+ Assist in preparing staff and faculty payroll for submission to payroll entry personnel.
+ Reconcile faculty and staff salary distributions at least quarterly and assist in audits of GCCR and FEC reporting.
+ Assist with pre-award processes such as CDAs, advance budgets, eGC1 preparation and submission, and grant submissions.
+ Monthly Budget Reconciliation using _institutional systems_ and program tracking systems, locating and matching source documents with posted expenditures, researching and resolving discrepancies.
+ Maintain and update budget-tracking systems and budget report preparation for the program.
+ Review and reconcile Procard, locating back up documentation for all transactions.
+ Review incoming invoices for accuracy, consult with the research team for verification of activity, pay invoices, follow up and track invoices not received based on activity, and maintain tracking systems.
+ Invoice on an ongoing basis, track and follow up on outstanding invoices.
+ Apply payments to study activity, perform regular financial reconciliation of clinical trial activity and keep up to date reports regarding outstanding revenue and expenses.
+ Maintain the receivables log and communicate with vendors as necessary.
+ Assist in budget deficit reporting quarterly, or as requested by the Division.
+ Assist in preparation and compilation of financial reports.
+ Review, approve and allocate billing charges to proper budgets using UW’s institutional systems.
+ Assist with processing all patient travel reimbursement and other reimbursements in compliance with UW, State and Federal policies through UW’s institutional systems.
+ Process budget extensions as needed.
+ Maintain all fiscal documentation required for audit/regulatory compliance.
+ Maintain file systems for finance and operations documents.
+ Communicate with vendors and sponsors as needed.
+ Assist Program Operations Specialist as needed.
MINIUMUM REQUIREMENTS:
+ Two years of experience providing administrative support in the area of fiscal and/or business management.
+ Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
DESIRED QUALIFICATIONS:
+ Bachelor’s Degree in Accounting, Business Administration or related field
+ Extremely competent working with Microsoft Excel.
+ Strong communication skills, organizational skills, and attention to detail.
+ Familiarity with University systems such as PROCARD, Award Portal, ECC, SAGE, Workday, etc.
+ Familiarity with UW policies and procedures such as Procurement, Travel, Budget reconciliation, etc.
+ Possess an eagerness to work in an environment with a healthy workload of paper and electronic tasks.
Compensation, Benefits and Position Details
Pay Range Minimum:
$47,448.00 annual
Pay Range Maximum:
$63,468.00 annual
