Job Summary
The University of Michigan Law School invites applications for a Student Administration Assistant Intermediate.
This position provides general administrative support to multiple offices and serves as the front desk receptionist for the office suite that includes the Office of Student Life (OSL) and the Office of Student Records (OSR).
The position is responsible for greeting visitors to the suite; responding to inquiries from students, faculty, and staff; monitoring email, phone, and physical correspondence; responding to and/or routing inquiries and concerns as appropriate; scheduling appointments; supporting programming; tending to various recordkeeping, budgeting, and accounting responsibilities; and representing the Law School effectively and professionally in all internal and external interactions.

Responsibilities*
+ Serve as the front-desk receptionist for the office suite that includes the Office of Student Life and the Office of Student Records. This includes opening and closing the office daily. The office hours are 8 a.m - 5 p.m, Monday through Friday.
+ Respond to and/or route telephone calls, email inquiries, and in-person visitors. This includes monitoring the general office email address.
+ Manage multiple appointment calendars, arrange travel, secure conference room reservations, assist in event planning and meeting coordination, and perform day-to-day operational tasks such as photocopying, scanning, and maintaining various record-keeping resources.
+ Prepare, edit, and distribute correspondence and office communications; proofread written materials for content and grammatical accuracy. This includes regularly handling sensitive and confidential information.
+ Support budgeting and expense management processes. This includes preparing and submitting reimbursement requests, expense reports, budget reconciliation, and preparing various other accounting reports.
+ Organize, maintain, and update various types of student records and other documents necessary to support student organizations. This includes coordinating student organization supplemental and travel budget requests and disbursements.
+ Maintain the student locker system, including assisting students who are locked out, processing locker registrations, and coordinating locker assignments and maintenance.
+ Support various events hosted by the office by reserving rooms, ordering supplies, coordinating catering, distributing flyers, and posting to various event calendars.
+ Provide administrative and operational support to both OSL and OSR during exam periods, including exam administration assistance.
+ Other duties may be assigned. Occasional evening and weekend work is required to support events.
Required Qualifications*
+ Associate's degree and at least three years of relevant administrative experience;
+ Excellent communication and interpersonal skills, including the ability to remain calm while communicating with someone who is upset or in crisis.
+ Ability to work directly with all constituents (prospective students, students, staff, faculty, alumni, and attorneys).
+ Demonstrated experience with Microsoft Office/Google document suite, calendaring systems (e.g., GMail; Outlook), and a strong comfort level with learning technology;
+ Demonstrated experience with budgeting and expense management.
+ Strong organizational skills, with a demonstrated ability to handle a heavy workload while paying close attention to detail and maintaining a high level of accuracy.
+ Ability to exercise discretion when dealing with highly sensitive, confidential information.
+ Demonstrated ability to work in a team environment.
Desired Qualifications*
Experience with Symplicity, Mailchimp, Canvas, Qualtrics, Emburse Enterprise, MPathways and University policies is helpful.
Prior administrative experience is strongly preferred. Experience in student services, legal practice, and/or higher education is very helpful. Event planning experience is also desired.
