Summary
The Senior Billing Analyst serves the sales and operations organizations and our customers in the client specific billing of our products and services. This role is a subject matter expert in all internal ordering and billing systems to better analyze improvement and problem solve issues between the two. Communicates with multiple stakeholders to effectively resolve billing issues. Leads team in training within systems and works with leadership to automate and simplify work structures, recognizing funnels and new system needs. This role interacts with Freeman branches across the U.S., the Sales Finance team and internal Finance Managers and Accounting to ensure correct billing information, creation of exhibitor/show files (pre and post shows), and compliance with standards for billing. The position is responsible for the processing of invoices, suggesting improvements to the invoicing process, reporting and resolution of payment issues, analysis of unpaid balances, and analysis of billing and budget reports for sales and operations including producing ad hoc reports as requested.
This position will support our Finance team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. This position is based out of our North Dallas office in Dallas, TX.
Essential Duties & Responsibilities
+ Ensures timely, accurate and complete billing of various revenue lines. This includes invoicing of various complexities of invoices from systems, and departments
+ Ensure billing and/or variance analysis is performed timely and provided to customers
+ Is a subject matter expert in all systems utilized within Central Billing including but not limited to SAP S4/HANA, Salesforce, and Solar Winds
+ Heavily reliant on in depth research analyzing AR records, contracts, purchase orders, and invoices. Acting as first line of defense when issues arise and are needing immediate attention, understands and executes solution
+ Maintains relationships with multiple stakeholders in order to communicate problems and relay the solution
+ Is considered Lead trainer amongst the department. Helps onboard new hires in using billing systems. Answers questions and documents best practice SOP’s amongst the team
+ Checks customer files in accordance with established procedures
+ Produces timely client specific invoices for products and services within tight ‘days to invoice’ timeframes that are compliant with our metrics /productivity standards
+ Documents and logs any revenue opportunities and errors captured during the billing review and analysis process and ensures approval is received for any price and/or service deviations from sales and or directors
+ Reports and analyzes customer contracts to make sure we are billing in compliance with legal documentation
+ Bills and routes invoice drafts working with sales and operations to ensure that the invoice draft is accurate and confirmed/approved
+ Submits invoices to many different portals for payment and follows up with customer and or account team
+ Manages and tracks customer portal PO’s then advises sales and/or clients if changes are needed
+ Interfaces with show site personnel, sales, clients, vendors, operations, and other internal colleagues to compile accurate billing records and effectively solicit timely information for billing processing and completeness
+ Works with AR and Credit and Collections Departments to reconcile the clients’ Accounts Receivable
+ Creates, maintains, and ensures full record keeping of client/exhibitor billing and customer data are accurate and secure per Company policy
+ For ad-hoc billing requests, ensures the revised invoices are prepared consistent with all invoicing standards, aligns to the AR balances, and are re-issued with specific instructions on their use to the requestors
+ Works with Finance Managers to support customers and service requests based on the specific needs of the customer
+ Creates and analyzes job cost reports with variances against budgets for sales and operations
+ Assists with special projects, automation, and integration efforts as directed
+ For ad-hoc billing requests, ensures the revised invoices are prepared consistent with all invoicing standards, aligns to the AR balances, and are re-issued with specific instructions on their use to the requestors
+ Works with Finance Managers to support customers and service requests based on the specific needs of the customer.
+ Creates and analyzes job cost reports with variances against budgets for sales and operations
+ Assists with special projects, automation, and integration efforts as directed
+ Participates in Corporate initiatives related to major systems automation and process improvements
+ Performs other duties as assigned
Education & Experience
+ Bachelor's degree from an accredited 4 year college or university is required
+ 5 years previous billing and reporting experience (preferred)
+ Advanced knowledge of Excel and Power Point
+ SAP experience required, Billing ERP systems
+ Reporting experience
+ System Implementation experience
