Reporting to the Chief Operating Officer, the Director, Investment Administration is a specialist role focused on providing critical audit and tax oversight and support to Emory Investment Management. All Operations employees function as a member of a broader operations team and may include participating in activities related to any of the 11BN+ in investments under supervision.
KEY RESPONSIBILITIES:
+ Audit Oversight Responsibilities: This role oversees all Annual Financial Statement audit activities of Emory Investment Management. This includes the following: serving as the investment office main contact with its external auditors, ensuring all workpapers, audit memos and position papers are prepared accurately and reviewed on a timely basis, ensuring all supporting backup documentation is maintained and provided to the auditors as needed, managing the annual audit process (including, but not limited to, reviewing audit confirms), reviewing all Audited Financial Statements of external managers, research and documentation on all new accounting guidance and its impact on Emory Investment Management, liaising with the Controller's Office, and serving as the point of contact at external administrator for all audit reporting needs.
+ Investment Accounting Responsibilities: Oversees the self-administration process. This includes reviewing accounting transactions, monthly and quarterly valuation, accounts reconciliations, financial schedules, researching and resolving accounting issues.
+ Manages the accounting close process and ensures the timely and accurate posting, balancing and reconciliation of all activities.
+ Monitors outstanding commitments and fees.
+ Tracks and processes expenses, fee payments and monthly accruals.
+ Communicates and coordinates with the bank custodian on tracking, reconciling, and validating transactions and valuation of the separately managed accounts.
+ Prepares and/or reviews various audit workpapers. Answers any ad-hoc inquiries, as well as questions related to all investment schedules as needed by the external auditors in a timely manner.
+ Performance Reporting Responsibilities: Maintains and refines a performance and reporting system for the investment portfolios.
+ Tracks investment account activity (including cash flow activities) in order to generate reports for performance purposes.
+ Ensures accuracy of all data and related information.
+ Assists with the verification process. Reviews and validates investment performance measurement calculation in accordance with industry standards.
+ Reviews and maintains the composite benchmarks calculation in accordance with the Investment Policy Statement.
+ Reviews performance report and communicates performance related information to the investment team.
+ Assists with internal and external reporting needs, including Investment Committee Report preparation and review.
+ Tax Oversight Responsibilities: Oversees all tax reporting needs related to investments. This includes working closely with outside tax counsel, as well as Emory's Director of Tax and Assistant Controller to ensure that Emory's tax reporting obligations are fulfilled.
+ Responsible for K1/tax document maintenance, FATCA compliance, UBTI tracking and estimated tax payment planning, facilitating annual tax monitoring questionnaire, evaluation of tax impact on investment return, member of the international tax working group.
+ Operational Due Diligence: Participates in operational risk assessment of external managers. This includes reviewing valuation policies and audited financial statements of external investment managers, facilitating annual ODD monitoring questionnaires and risk rankings.
+ Other Responsibilities: Responsible for the oversight of documentation and maintenance of operational policies and procedures; ensures that operational processes and controls minimize operational risks.
+ Maintains accurate records to ensure compliance with appropriate regulations.
+ Facilitates collaboration to achieve process efficiency.
+ Performs other related duties as required.
MINIMUM QUALIFICATIONS:
+ A bachelor's degree in finance, accounting, or a related field, and eight years of finance/accounting experience, including experience in an investment organization or related area.
+ Knowledge of investment management software tools.
+ Must have a solid understanding of portfolio accounting, performance reporting, process flows, and work structures.
+ An MBA, CFA, or CPA is required.
NOTE: Position tasks are required to be performed in-person at an Emory University location; working remote is not an option. Emory reserves the right to change this status with notice to employee.
