    What we want

     

    The Senior Administrative Coordinator I for the College of Nursing, under the supervision of the Director for Faculty Affairs provides administrative support to the Assistant Dean, faculty, staff, students, and the College of Nursing. Manages a wide range of administrative and logistical functions. Responsibilities include overseeing daily office operations, coordinating meetings and events, maintaining records and compliance, assisting in faculty hiring and onboarding, and providing support for academic and student activities. Collaborates with campus and community partners, supervises, trains and evaluates staff or student workers as assigned, and maintaining strict confidentiality.

    Required Education and Experience

    + Bachelor’s degree or equivalent combination of education and experience.

    + Six years of office administration or related administrative support experience.

    Preferred Qualifications

    + Administrative support experience in an academic setting.

    + Experience with event planning, scheduling, and customer service.

    + Experience working with databases and educational software.

    Knowledge, Skills, and Abilities

    + Knowledge of word processing, spreadsheet, database, and presentation software.

    + Strong organizational, planning, and multitasking skills.

    + Excellent written and verbal communication skills.

    + Ability to work independently as well as cooperatively with colleagues.

    + Ability to work with sensitive information and maintain confidentiality.

    + Effective interpersonal skills and customer service orientation.

    + Ability to organize work effectively and exercise independent judgment, discretion, and initiative when prioritizing objectives.

    Responsibilities:

    Logistical & General Campus Support:

    + Performs receptionist duties serving as the first point of contact for the College of Nursing, McAllen campus.

    + Plans and organizes meetings, events, and special projects for the college.

    + Participates in the resolution of operating problems.

    + Manages campus room and event reservations, collaborates with campus and community partners, and assists with purchasing and inventory for the office.

    + Coordinates committee meetings, prepare agendas, and organize and track agenda items.

    + Plans and maintains reservations for meetings and special events.

    + Assures the confidentiality of sensitive correspondence, reports, and conversations.

    + Collaborates with Office of Business Affairs on retention of records (inventory, surplus, and vehicle) for McAllen Campus.

    + Assists Office of Business Affairs with purchasing and maintenance (equipment, supplies, and vehicle) for McAllen Campus.

    + Serves as the vehicle coordinator for the College of Nursing McAllen campus.

    + May hire, train, and supervise student worker and support staff.

    + Makes recommendations for process improvements, administrative changes, or new initiatives.

    + Maintains strict confidentiality concerning highly sensitive information including FERPA and HIPAA.

    Administrative Support Duties:

    + Participates in the planning and execution of administrative operations.

    + Maintains calendar appointments for the Assistant Dean.

    + Provides administrative support to Assistant Dean and to faculty as assigned.

    + Coordinates travel arrangements and prepares itineraries as needed.

    + Supports policy and procedure implementation and recommend process improvements.

    + Coordinates meetings, seminars, and other special events.

    + Liaises and fosters a collaborative environment with leadership, faculty, and staff across all CON sites and within the Texas A&M Health colleges.

    + Assists in engagement and collaborative efforts with local agencies, organizations, hospitals, colleges, and universities.

    + Serves on special projects and task forces within the CON as directed by Assistant Dean.

    Faculty Support:

    + Assists with faculty hiring, onboarding, compliance records management, and academic activities in cooperation with the Assistant Dean and Director of Faculty Affairs.

    + Supports faculty with classroom and course-related tasks, maintain faculty materials.

    + Manages site-specific property assigned to and collected faculty (laptops, monitors, etc.).

    + Serves as liaison with IT for onboarding of new faculty to the McAllen site.

    + Performs administrative support for assigned faculty committee.

    + Manages faculty purchase requests for approved instructional and/or research supplies.

    + Plans and coordinates semester classroom reservations with Assistant Dean and Faculty.

    Student Support and Other Duties:

    + Collaborates with Student Affairs to organize student orientation and events, coordinate record keeping for students, as needed.

    + Coordinates with student organizations and faculty advisors for meeting/event planning and room reservations.

    + Manages room reservations for students/faculty with exam accommodations.

    + Arranges and schedules student meetings with Assistant Dean.

    + Perform other duties as assigned.
