    Job Title: Procurement SpecialistJob Description

     

    The role of the Procurement Specialist involves sourcing and purchasing parts, supplies, tools, equipment, and services to ensure efficient and cost-effective acquisition of goods and services required for successful operations. This position supports all field and shop procurement activities across multiple departments, ensuring materials meet cost, quality, and delivery timeline expectations. It also involves managing vendor relationships, negotiating contracts, ensuring compliance with company policies, and working with internal teams to ensure alignment with project requirements and the quality management system.

    Responsibilities

    + Procure all materials, tools, consumables, and services necessary for projects and operations.

    + Purchase high-quality products at competitive prices in correct quantities and lead times.

    + Verify all incoming orders for accuracy, condition, and usability before allocation to projects or inventory.

    + Coordinate with Estimating and Operations teams to ensure accurate and up-to-date pricing structures.

    + Identify, evaluate, and select suppliers based on pricing, quality, service, support, delivery, and reliability.

    + Develop and maintain a preferred vendor list in compliance with ISO 9001 quality standards.

    + Conduct and document annual vendor reviews and audits, updating status based on performance.

    + Negotiate pricing, service terms, and delivery conditions to maximize value and ensure contract adherence.

    + Attend vendor site visits, trade shows, and industry events to stay current on market offerings and trends.

    + Prepare and issue purchase orders for goods and services.

    + Proactively track open orders and ensure on-time delivery, resolving discrepancies and delivery issues proactively and in real-time while keeping operations up to date on order status.

    + Maintain accurate procurement records including quotes, order confirmations, receipts, invoices, and performance data.

    + Collaborate with Accounting to align procurement and billing processes.

    + Formulate and update internal procurement policies and bid processes.

    + Optimize inventory levels to prevent shortages or excess stock.

    + Proactively track and manage shipping status and communicate real-time tracking updates to operations and management.

    + Ensure purchases comply with applicable federal, state, and industry regulations.

    + Verify supplier-provided certifications, warranties, and quality documents.

    + Support continuous improvement efforts related to cost savings, supply chain resilience, and process standardization.

    + Prepare reports on procurement activities, analyzing data to identify areas for improvement.

    + Participate in company meetings and contribute to initiatives supporting safety, quality, and operational excellence as it pertains to procurement.

    + Maintain a professional demeanor when communicating with vendors, customers, and internal stakeholders.

    + Perform any other duties as apparent or assigned.

    Essential Skills

    + 5–7 years of procurement or supply chain experience (industrial, construction, or energy sectors preferred)

    + 2–3 years of vendor negotiation and contract management experience

    + Strong proficiency with Microsoft Office Suite (Excel, Outlook, Word), Adobe, and procurement-related software

    + Comfortable working in a fast-paced, deadline-driven environment

    + Willingness to be intermittently available during evenings, weekends, or early mornings for emergency projects

    Additional Skills & Qualifications

    + Associate’s or Bachelor’s degree in Supply Chain, Business, or related field

    + Familiarity with ISO 9001 quality systems and compliance requirements

    + Ability to read and interpret basic technical specifications or drawings

    Work Environment

    This is a full-time, in-office position located in St. Cloud, MN. The role requires working in a dynamic environment where quick decision-making and problem-solving are essential. The position may occasionally require travel for vendor visits, trade shows, and industry events.

     

    Job Type & Location

     

    This is a Contract to Hire position based out of Saint Cloud, Minnesota.

    Pay and Benefits

    The pay range for this position is $36.00 - $43.00/hr.
