    $22.00-$25.00 (Based off experience)

     

    Overview

     

    The Arc Erie County NY is a leading not for profit local agency helping people with developmental disabilities. Our Vocational Billing Specialist is responsible for providing billing and administrative support within the Vocational and Community Support Services Department.

    Key Duties

    + Managing billing processes for OPWDD and ACCES-VR services

    + Prepare and submit the monthly ETP reports

    + Maintaining accurate data and reports

    + Supporting departmental communication and compliance efforts

    Qualifications

    + Associate's degree in human services and/or a related field with PLUS three years of experience working in an administrative office.

    OR

    + High School or equivalent diploma PLUS five years of experience working in an administrative office.

    Proficient knowledge of Microsoft Office; One Drive, Teams, Word, Excel, and Outlook email.

     

    Prior experience with ACCES-VR and OPWDD programming and commitment to maintain training requirements for the programs.

    Job Title:

    Vocational Billing Specialist

    Department:

    Position Summary:

    The Vocational Billing Specialist is responsible for providing billing and administrative support within the Vocational and Community Support Services Department. This role includes managing billing processes for OPWDD and ACCES-VR services, maintaining accurate data and reports, and supporting departmental communication and compliance efforts. The Specialist will develop and maintain strong knowledge of agency programs, services, and funding requirements.

    Reporting Relationship:

    The Vocational Billing Specialist will report directly to the Vice President of Vocational and Community Support Services.

    Job Duties and Responsibilities:

    + Support the Billing of OPWDD and ACCES-VR services

    + Run weekly production reports from P-Care and upload to SharePoint

    + Run weekly, monthly quarterly and annual ACCES-VR, SEMP, and OCS billing reports upon review/approval by coordinator

    + Monitor inactive Medicaid numbers and work with care coordinators to rectify issues.

    + Monitoring group placement hours, and completing hours requests as needed from OPWDD

    + Prepare and submit the monthly ETP hours report upon coordinator review.

    + Complete quarterly reports for all funding sources in the department

    + Monitor progress in quarterly compliance tracking to ensure department hits targets

    + Monitors and uploads completed training certificates; tracks compliance with training requirement for department

    + Collaborate with the Coordinator of Vocational and Employment Services and the Finance Department to submit and monitor ACCES-VR monthly billing, including:

    + Uploading monthly billing reports to the AWARE Portal

    + Using managers' billing sheets, review for accuracy of required information (invoice numbers, units billed, etc.) Contacting managers directly with discrepancies in information.

    + Complete monthly summary of billing and review with Coordinators and Director/VP.

    + Work with the Finance department to determine any causes of discrepancies in billing.

    + Work with the Finance department on reconciling remittance of payments.

    + Monitor AWARE portal for rejected billing and work with managers to correct errors and resubmit.

    + Intake of ACCES-VR

    + Process new referrals to include completing demographic forms, opening in P-Care, electronically filing documents to P-Care.

    + Support Coordinator of Vocational & Employment Services in updating the case management workbook by entering new referrals and intake information.

    + Monitor the Pre-ETs units and request more if needed.

    + Purge file and send to documentation management

    + Other Administrative tasks

    + Maintains an updated list of all school district contacts and support in the dissemination of department updates and other communications.

    + Maintains an updated list of employer contact information and supports ongoing outreach.

    + Prepares materials and resources needed to support schools and employers

    + Supports the purchasing and inventory of materials and resources.

    + Supports in the marketing and communication for the profit side of the Specialized Workforce Training Center

    + Demonstrates the agency's values of integrity, respect, responsibility, trust, teamwork, and positive attitude. Learning and honesty in working with students, individuals, families, colleagues, and members of our community .

    + Provide reception coverage during breaks as needed.

    Qualifications and Education Requirements:

    Associate's degree in human services and/or a related field with PLUS three years of experience working in an administrative office.

    + Human Relations Skills:

     

    The ability to communicate with individuals in a positive manner is important. Receive supervision instruction in a positive manner. Adhere to and administer Agency’s policies, procedures, rules, and regulations. Maintain a professional attitude and appearance.

     

    + Equipment Operation:

     

    Proficient in the operation of computers, copiers, and facsimile machines.
