Responsible for the day-to-day management of the office while maintaining a high standard of service to students, scholars, and faculty. January 1, 2023- Utica University will start a flexwork program designed to give employees a greater work life balance. This flexwork program is an alternative to the standard 8:30 a.m. to 5:00 p.m., Monday through Friday, work schedule. While employees’ salaries, vacation and sick time are based on a full-time (37.5 hours/week) schedule, employees work an abbreviated 32-hour work week, with the flexibility of working either a four-day week or five abbreviated days. Supervisors will work with employees on scheduling to ensure the needs of the department are met. **Location** Utica, NY Application Deadline *Full consideration by*: **Open Until Filled** Yes Major Responsibilities 1. Administrative duties as needed and assigned include, but are not limited to, processing and maintaining budgeting and purchasing records. maintaining documentation for inbound and outbound students and ensuring the University’s official records in Banner are current. Performs RO tasks on SEVIS, which encompass the maintenance of student profiles and Utica University’s profile in the SEVIS database. Serves as the primary resource for l20 production and compliance. Assures institutional compliance with immigration laws and regulations and required procedures/policies of the U.S. government. 2. Process insurance coverage/waivers for incoming and outgoing international students and scholars. 3. Coordinate with other offices on campus to resolve any process issues related to international students. 4. Coordinate the logistical aspects of short-term study abroad opportunities, including working with students and parents to answer any questions. 5. Act as back-up to the Director of Academic Business Development for the Designated School Official and Alternate Responsible Officer. 6. Maintain and update office marketing materials, including the department website, social media presence, and relevant brochures or other media. 7. Designs and directs professional and cultural events for students. Schedule and coordinate special events, study abroad fairs, student activities and trips, and events organized by International Education. Assists with the coordination of international students’ orientations. Acts as an international student advisor to all international students. Operate UU vehicles for the purpose of transporting students as necessary and appropriate. 8. Participate and engage in community, belonging, and engagement initiatives and programs, including but not limited to serving on relevant committees, advising a club, facilitating related training, and engagement in institutional cultural and celebratory events and programming. 9. Other duties as assigned. Driving Responsibilities Must maintain a clean driving record as defined by University insurance carrier guidelines. Motor vehicle record will be monitored regularly using NYS License Event Notification Service or License Monitor, Inc. for out of state licenses. Will be required to attend van training annually. Travel **Supervises** Student workers Education & Experience Qualifications + Associate degree required, bachelor’s preferred. + Minimum two years’ experience in an office setting required, preferably in an office with a high degree of student interaction. Minimum Skills/Abilities + Must possess excellent communication skills including a pleasant demeanor and a willingness to interact with non-native speakers of English and with people of diverse cultural backgrounds. + Must possess strong organizational and analytical skills. + Must possess a strong commitment to diversity and work continually to enhance diversity of our students, faculty, and staff. + Must possess a high level of competence with Microsoft Office including Word, PowerPoint and Excel. Expertise in Ellucian Banner preferred. + Ability to learn and use new software, update websites, and utilize social media in a professional manner for communication purposes. + Must possess a valid driver’s license. + Must be able to handle multiple tasks in a busy office environment. + Must be willing to work flexible hours as necessary during arrival and departure times of students.
