Job Description
Your Team
The Administrative Assistant provides high-level administrative, organizational, and project coordination support to executives and team members. The role requires a proactive, detail-oriented individual who thrives in a fast-paced environment and can manage multiple priorities with professionalism and discretion.
Your Key Deliverables
Administrative & Office Management (50%)
+ Manage calendars, schedule meetings (including Teams), and coordinate travel arrangements.
+ Greet visitors, answer and screen calls, and handle incoming/outgoing mail and FedEx.
+ Order and maintain office and kitchen supplies; oversee presentation and functionality of office space.
+ Manage office equipment leases (copiers, water service, shredding service, etc.).
+ Maintain electronic filing systems for plans, plats, permits, and general documents.
+ Prepare meeting agendas, take minutes, and follow up on action items.
+ Support preparation of business plans, PowerPoint presentations, and internal/external communications. Coordinate updates and distribute deliverables.
+ Assist with expense reports and professional organization memberships.
+ Coordinate logistics for in-person meetings, including meals, reservations, and transportation.
Project Coordination & Reporting (40%)
+ Prepare and distribute monthly project updates and reports.
+ Support LakePointe and Tehaleh project meetings: maintain agendas, track permits, update schedules, and distribute notes.
+ Draft and edit documents including monthly reports, annual reports, business plans, and Major Decision memos.
+ Maintain trackers for permits, dirt import, and PSE refunds.
+ Generate bond requests; track all bonds and releases.
+ Support contract requests, check requests.
+ Coordinate semi-annual JV and business plan meetings, ensuring stakeholder input and updates.
Builder Sales & Contract Coordination (10%)
+ Review, edit and route Request for Offer packages.
+ Coordinate feasibility information.
+ Input builder contract terms into management systems.
Must Haves
+ Exceptional written and verbal communication skills.
+ Highly organized with strong attention to detail.
+ Ability to prioritize tasks and manage time effectively.
+ Proactive, self-starter with sound judgment and discretion.
+ High ethical standards and ability to handle sensitive information.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Nice to Haves
+ Bachelor’s Degree
+ Familiarity with Microsoft Project, Google Earth, InDesign, and Smartsheet
