Job Description
This is a temporary position with an 18-month duration
The Office of Chief Medical Examiner investigates cases of persons who die within New York City from criminal violence, by accident, by suicide, suddenly when in apparent health, when unattended by a physician, in a correctional facility or in any suspicious or unusual manner or where an application is made pursuant to law for a permit to cremate a body of a person.

The selected candidate will assist with various administrative tasks included but not limited to:
- Provide support to HR functions including recruitment, employee relations, leave management, and payroll processing, ensuring smooth and efficient HR operations.
-Assist in reviewing candidate qualifications, forwarding qualified r sum s to hiring managers, and coordinating interview schedules.
-Schedule HR meetings, training sessions, and departmental conferences, including Step 1 and Step 2 interview panels.
-Support employee onboarding and offboarding processes, ensuring accurate data entry and record keeping within HR systems such as NYCAPS, CHRMS, and PMS.
-Assist in processing various employee leave requests, including sick leave, FMLA, jury duty, blood donations, and absence reports.
-Assist with payroll-related tasks, including Citytime entry corrections, overtime approvals, and manual data updates.
-Prepare confidential HR reports, documents, and correspondence, ensuring data accuracy and compliance with organizational policies.
-Maintain and update employee records, including personnel files, leave documentation, and HR system data.
-Facilitate communication with relevant departments and external agencies to coordinate employee training, development programs, and compliance activities.
-Support recruitment efforts by coordinating outreach events, job fairs, and candidate communications.
-Assist with special HR projects and initiatives, providing administrative support as needed.
-Perform additional duties to support departmental objectives and improve HR service delivery.
SPECIAL NOTE:
- Selected candidates will be required to provide a DNA sample by swabbing.
- This position has been identified as essential. During emergency events, essential positions may require 24-hour availability.
WORK AUTHORIZATION:
Authorization to work in the Unites States is required for this position. Office of Chief Medical Examiner does not provide sponsorship for international employees for visa applications, extensions, or status changes, including STEM/OPT visas. Qualifications
1. An associate degree from an accredited college including or supplemented by 12 semester credits in secretarial science, word processing, office automation and/or office technology; or
2. An associate degree from an accredited college, and either one year of satisfactory full-time professional general secretarial experience or six months of satisfactory full-time professional legal secretarial experience; or
3. A four-year high school diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization, and either two years of satisfactory full-time professional general secretarial experience or one year of satisfactory full-time professional legal secretarial experience; or
4. Education and/or experience equivalent to "1", "2" or "3" above. Satisfactory completion of a one year specialized training program in secretarial science, word processing, office automation and/or office technology, or completion of 30 semester credits from an accredited college, including 12 semester credits in secretarial science, word processing, office automation and/or office technology may be substituted for one year of full-time general secretarial experience or six months of full-time legal secretarial experience. However, all candidates must possess a four-year high school diploma or its educational equivalent.
Skills Requirement
Ability to type at a minimum rate of 55 words per minute. For assignments requiring stenographic skills, candidates must also have the ability to take legal dictation. For certain assignments, individuals may be required to have higher typing and stenographic
skills.
