Job Summary
**Program Assistant-Department of Theatre** The Department of Theatre is seeking a highly organized and detail-oriented Program Assistant to support the administrative functions of the Main Office. This role involves close collaboration with theatre faculty and staff, assisting with classroom scheduling, communication coordination with Marketing and Communications teams, and managing production ticketing in partnership with Pioneer Theatre Company’s Box Office. Additionally, the Program Assistant will support the Production Manager / Chair in the preparation and execution of productions across the Meldrum Theatre, Babcock Theatre, and Studio 115. Responsibilities include maintaining venue and rehearsal calendars, assisting the Chair with the management of budgets, contracts, and royalty agreements.
This position is ideal for a motivated individual eager to develop administrative skills within a dynamic theatre environment. Previous theatre experience is not required, but candidates must demonstrate strong attention to detail, excellent organizational abilities, and a willingness to learn.
Responsibilities
+ Collaborate and assist the Department’s Production Manager / Chair on the following tasks:
+ Organize and archive production documents, photos, and videos.
+ Create and manage season venue and production calendars.
+ Assist in reconciling budget workbooks and tracking receipts.
+ Draft and manage student and guest production contracts.
+ Maintain royalty contracts, ensure timely payments, and manage related communications.
+ Coordinate audition scheduling for upcoming production seasons.
+ Document production and venue planning processes.
+ Manage various shared email inboxes.
+ Handle confidential information, room scheduling, and support special projects assigned by staff and faculty.
+ Communicate professionally with students, university personnel, and external vendors.
+ Perform additional duties as assigned by the Chair
Minimum Qualifications
**EQUIVALENCY STATEMENT :** 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
**Program Assistant,, I:** Requires little to no related experience.
Preferences
Qualifications:
+ Proficiency with Microsoft Office Suite, and scheduling software is required.
+ Demonstrated ability to manage multiple tasks efficiently and maintain attention to detail.
+ Strong organizational, communication, and interpersonal skills.
+ Ability to work independently and collaboratively in a fast-paced environment with over 200 students and over 50 faculty / staff personnel.
