Job Summary
Michigan Medicine is seeking an Administrative Specialist to support the Hospital Facilities Operations team. The function of the Administrative Specialist is to support the team by providing project assignments and administrative support under the direction of leadership.
Hospital Maintenance & Operations (HM) is responsible for the 24/7 operation and maintenance of the hospital and out-building infrastructure which includes but is not limited to the following systems: medical gases, HVAC, electrical power, water (process, domestic, and RO), pneumatic tube, life safety systems (doors, fire alarm, fire suppression, power), plumbing, electronic and pneumatic building controls, and interior and exterior architectural finishes.

Responsibilities*
+ Supports all aspects of payroll support and staff time keeping systems within our payroll system.
+ Manages assorted record keeping for staff including but not limited to attendance, medical evaluations, training, overtime polling and logs.
+ Collects and analyzes data inclusive of regulatory compliance documentation, maintenance metrics, required training, staff licensure, updates to continuity of operations plans, and others as assigned.
+ Manages data collection and generates compliance documentation reports. Publishes data to various groups inclusive of Accreditation, Environment or Care, Utilities Management Committee, Nursing Partnership Committee, and internal audiences.
+ Performs general administrative duties for leadership inclusive of managing calendars, making meeting and event arrangements, assisting with travel plans through the Business Office, training front line staff, customer relations, time keeping for payroll, and overtime polling.
+ Generate department communications and monthly shop agendas.
+ Administrative tasks in support of hiring committees inclusive of managing internal/external postings, managing the open positions log, contacting potential candidates to establish interview timeframes, coordinating meeting locations, and candidate on-boarding.
Required Qualifications*
+ Bachelor's Degree or equivalent combination of education and experience.
+ 5+ years working in an office environment setting, supporting a technical team.
+ Ability to work well with all levels of internal leadership and staff, outside clients, and vendors.
+ Administrative project coordination experience.
+ Sensitivity to confidential matters.
+ Strong writing, grammar, and typing (>40 words per minute) abilities.
+ Proficient in general computer skills inclusive of Outlook email and calendars, Word, Excel, PowerPoint, basic image editing, Google or Box cloud based drives, Internet Explorer, and ability to learn new systems.
+ Ability to re-prioritize assigned work daily and meet deadlines.
Desired Qualifications*
+ Maximo CMMS program familiarity is a plus
+ Creativity and enthusiasm in applying daily work
+ Interest in mechanical, electrical, and plumbing systems or a technical background.
Work Schedule
40 hours per week, generally Monday through Friday from 7am to 3:30pm.
Work Locations
University Hospital South, on site.

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
