Responsibilities:
GENERAL SUMMARY
With significant latitude for independent judgement and decision-making, the Associate Director, OME Student Supp & Enrichment Programs provides leadership to critical areas in Student Affairs of the medical school and plays a key role in developing, managing and enhancing student programs
The Associate Director is responsible for the planning, execution and continuous improvement of student support programs in the areas of affinity/identity student groups, leadership, career development and wellness programs. This individual provides broad oversight of the seven affinity/identity groups and student representatives to national organizations including oversight of programs, and budget management. Serving as the subject matter expert and key driver of career development programming, this individual proactively interacts and consults with the Associate Dean for Student Affairs, faculty, staff, students, and national organizations, to create, deliver and assess career development programs. The individual will stay current with processes and drive measured results in the school’s commitment to students securing broad residency positions across the country. Working with others in Student Affairs, the individual will take a major leadership role in writing grants to external agencies for resources for student support programs. The individual chairs the Wellness Committee and manages the committee’s programming. The Asssociate Director directly interfaces with student groups and individual students to share information, to provide guidance and to advise.
The Associate Director is responsible for the medical school’s enrichment programs in the three major areas of: medical student research, international medical student experiences, and volunteer/community service programs. Working directly with three faculty members who advise these programs, the individual develops and manages these programs including endowment funding, compliance with university and external guidelines, and program assessments and reports. The Associate Director works with the Office of Global Engagement and other members of the University community to support University of Rochester medical students completing international experiences and for visiting international. The Associate Director assumes management and operational responsibility in the strategic planning, development, implementation, and evaluation of all enrichment programs.
The Associate Director is expected to serve as a full voting member of the MD Program Admissions Committee.
The position supervises 3.0 full-time employees, providing leadership and direction to team members. The individual works collaboratively with the Director of the Offices of Medical Education, the Associate Dean for Student Affairs, Advisory Deans, the Senior Associate Dean for Medical Student Education and other leadership team members to build, deliver, and analyze student programs. The individual identifies opportunities to engage with medical students, faculty, and other stakeholders that enrich the quality of the medical student experience.
ESSENTIAL FUNCTIONS
Medical Student Career Development
With general guidance from the Associate Dean of Student Affairs, develops and implements URSMD career development activities and services (seminars, events, programs, etc.) targeted to support career planning and professional success of all medical students.
+ Conducts a periodic needs assessment to inform development, documentation and evaluation of career development-related education and programs, policies and services.
+ Consults with Advisory Deans, faculty in clinical departments, staff, and/or administration as needed regarding issues of career development
+ Provides definition and oversight of formal career development sessions conducted by Advisory Deans over the four years of the curriculum.
+ Oversees staff maintenance of the URSMD Career Counseling website and other resources for medical students.
+ Collaborates with the Associate Dean of Student Affairs and staff to produce a quarterly career development newsletter for distribution to select faculty and medical students.
+ Leads URSMD committees, teams and student groups related to career development.
+ Participates in local, regional and national associations, conferences and meetings to stay abreast of trends and suggest strategies to optimize the medical school’s career development.
+ Provides career planning guidance to individual students with greater need and makes appropriate referrals to Advisory Deans.
+ Under the broad direction of the Associate Dean of Student Affairs, provides guidance on and strategies for optimal performance to medical students including:
+ Serves as the director for the Associated Medical Schools of New York (AMSNY) and other external grants to support student success.
+ USMLE STEP 1 & 2 Licensing Examination Study Materials
+ Meets with individual medical students who self-refer or are referred for guidance on strategies to optimize their performance in medical school addressing individual issues (examples include time management, organization, participation in group learning, etc…)
+ With significant independent latitude, allocates accounts and endowments for student assistance in need areas including examination prep, emergency funding, external elective expenses.
+ Maintains relationships and knowledge of available medical school and university resources for medical students that provide personal counseling, learning testing, and tutoring.
Medical Student Enrichment
+ Manages staff who are responsible for Medical Student Summer & Year Out Research Programs and the Academic Research Track
-Responsible for all education materials for students wishing to pursue summer (on average 70/year) and year out research (on average 14/year).
-Oversees the creation and maintenance of electronic application system including dissemination of information to selection committees.
-Ensures committee review meetings occur.
-Oversees student notification letters, student compensation, communicates to faculty preceptors and coordinates assessments of students.
-Oversees the office facilitation of the annual medical center research poster session and creation of the Abstracts Journal.
-Manages the budget, use, and reporting of multiple endowments for medical student research
-Joins the Senior Associate Dean in select meetings with philanthropic donors.
-Works in conjunction with the faculty director of medical student research programs.
+ Manages staff who are responsible for Medical Student Community Service/Volunteer Programs (aka Students of Rochester Outreach (SRO))
-Responsible for oversight of budget for over twenty outreach groups.
-Ensures proper relationship agreements are in place with community partners.
-Works in conjunction with the faculty director of medical student volunteer/community service programs.
- Ensures a database is maintained to track student contribution, generating annual reports for the Liaison Committee on Medical Education (LCME) and medical center as well as ad hoc reports.
+ Manages staff who are responsible for Visiting International Students
-Ensures current and appropriate affiliation agreements are in place with seven international medical schools.
-Interfaces with the University’s Office of Global Engagement and the University Health Services to ensure state and federal compliance with programs.
-Manages endowments dedicated to international medicine.
-Serves as a resource for URSMD medical students completing electives abroad.
-Works in conjunction with the faculty director of medical student international programs.
+ Affinity and Identity Student Groups
-Manages staff who are responsible for oversight of the seven medical student affinity and identity groups in conjunction with the Associate Dean for Student Affairs.
-Provides budgetary oversight of affinity and identity groups.
Medical Student Wellness
With general guidance from Associate Dean of Student Affairs, develops URSMD wellness activities and services (workshops, seminars, events, programs, etc.) designed to support the health and wellness of medical students.
+ Responsible for the design and implementation of required medical school curriculum content relating to wellness and resilience.
+ Responsible for the development, implementation and evaluation of evidence-based wellness education, prevention, promotion, and support for medical students.
+ Conducts a periodic needs assessment to inform development, documentation and evaluation of wellness related education and programs, policies and services.
+ Leads URSMD committees, teams and student groups related to student wellness. Consults with faculty, staff, and/or administration regarding issues of medical student health and wellness.
+ Collaborates with campus partners (UCC, UHS, CARE Network,TLC) and stakeholders to integrate wellness education efforts into current policies and programming to further efforts towards a comprehensive, multidisciplinary approach to student mental health and wellness.
+ Serves as the school’s representative for the CARE Network and the Basic Needs Hub. Collaboratives with leadership and members of the University community to address student cases.
+ Participates in local, regional and national associations, conferences and meetings to stay abreast of trends and suggest strategies for the college’s continued improvement in student wellness.
+ Exercises independent judgment in the disbursement of medical student support/emergency funds from university and endowment dollars.
Administration & Finance
+ Directly manages a team of 3 support staff to achieve the missions of the office.
+ Makes hiring decisions, provides ongoing supervision and training, manages personnel issues and actions and conducts performance reviews.
+ Budget administration, tracking and reconciliation
+ Maintains compliance with federal regulations as they apply to student support and enrichment programs.
+ **Management of the AMSNY grant** (previously handled by the Director of Budget & Operations, OEE)

MINIMUM EDUCATION & EXPERIENCE
+ Bachelor’s degree in a relevant field. Required
+ Master’s degree in education, Counseling, Psychology, Student Affairs, or Business Administration Preferred
+ 7 years of related work experience of which 2 are in administrative capacity in an academic office or project management at a managerial level. Required
+ Or an equivalent combination of education and experience
