Summary
**Job Summary** : Under general direction, the Supply Coordinator, Perioperative Services is responsible for the inventory, maintenance, and procurement of all non-stock supplies, instruments and minor equipment for the Surgical Services department, based on the policies and procedures established by the Surgical Services and Materials Management departments. The overall objective is to provide a constant, cost-effective flow of supplies and equipment to Surgical Services. The incumbent will work in a complex multi-departmental system where the incumbent must be able to explain the organization’s surgical purchasing policies and procedures and facilitate the expeditious and economic processing of purchase requests. Perform related duties as required.
**DUTIES & ESSENTIAL JOB FUNCTIONS** : NOTE: The following are the duties performed by employees in this classification, however, employees may perform other related duties at an equivalent level. Not all duties listed are necessarily performed by each individual in the classification.
1. Arranges for loaner equipment/instrumentation as needed.
2. Assists in research for the Value Analysis Team to promote acquisition of materials at the lowest cost to the hospital considering quality, service, and required delivery.
3. Collaborates with bioengineering to maintain computerized database inventory system for surgical equipment.
4. Collaborates with Surgical Services IT to maintain supply and equipment database in perioperative electronic medical record system.
5. Communicates with Sterile Processing department regarding OR schedule, preference card and instrument tray changes on an on-going basis; in conjunction with Materials Management, reviews inventory items semi-annually to determine usage patterns and PAR levels, Advises Director and Materials Management of obsolete or overstock items.
6. Coordinates and implements preventative maintenance and appropriate repair of surgical equipment.
7. Creates and analyzes non-stock usage and recommends stock changes, standing orders, or other appropriate purchase actions; communicates with users to keep abreast of their needs and to assure that their needs are being met.
8. Develops and presents, in collaboration with the Surgical Services Educator, one in-service per year to staff members on all shifts.
9. Inventory on a daily basis all non-stock supplies, instruments, equipment required to perform all surgical cases within a 48-hour period.
10. Orders and maintains departmental office supplies and forms; resolves invoice discrepancies maintains and updates vendor catalogs for Surgical Services; provides information to users regarding products.
11. Provides information and data, utilizing appropriate software to enhance project and decision-making with the department of Perioperative Services and Materials Management; meets with users and departments to determine service requirements.
12. Reorder as needed supplies and minor equipment from appropriate location such as Sterile Processing, Central Supply, and Storeroom to maintain an adequate on-hand inventory; receives and stores all non-stock supplies/equipment delivered in their appropriate locations.
13. Review Operating Room schedule, 48 hours in advance in order to ensure timely delivery of needed supplies an instrumentation.
14. Tracks open purchase orders and expedites as required; follows up on delinquent orders, when necessary, to ensure that vendors are performing satisfactorily and arranges for return of merchandise.
Qualifications:
Education: High School diploma or equivalent.
Minimum Experience: Two years Operating Room buying experience or two years as a Surgical Technologist.

Final compensation will be determined based on several factors, including but not limited to a candidate’s experience, education, skills, licenses and certifications, departmental equity, applicable collective bargaining agreements, and the operational needs of the organization.
