Duties Description Duties include but are not limited to:• Provide advanced office support and serve as a lead contact for the Front Desk Team.• Manage a multi-line telephone system, screen calls, and resolve inquiries as appropriate.• Monitor and coordinate multiple shared mailboxes and electronic fax systems, ensuring timely follow-up and communication.• Oversee and distribute incoming program mail, documents, and correspondence, maintaining accurate tracking and organization.• Draft, review, and finalize various types of written materials, including reports, memos, and correspondence.• Serve as the central point of contact for onboarding activities, ensuring orientation, access, and documentation requirements are completed accurately and on time.• Act as the unit’s technology representative by coordinating equipment requests, system permissions, and resolving basic troubleshooting needs.• Supervise an Inclusive Internship Program participant, ensuring proper direction and workload support.• Efficiently utilize databases, Microsoft Office Suite, and program applications to support daily operations.• Organize, track, and maintain unit files and documentation.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:One year of clerical experience.ORApplicants may be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a position allocated to Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.
