About the Role
We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO) and Chief Financial Officer (CFO). This role is pivotal in ensuring the smooth operation of executive functions and contributing to strategic initiatives across the organization. The ideal candidate will be a trusted partner, capable of managing complex schedules, preparing high-impact materials, and driving alignment across key stakeholders.
Key Responsibilities Executive Support & Administration
+ Manage complex calendars, travel arrangements, and meeting logistics for the CEO and CFO.
+ Serve as the primary point of contact for internal and external stakeholders on behalf of the CEO and CFO.
+ Prepare, edit, and distribute correspondence, reports, and presentations.
+ Handle confidential information with discretion and professionalism.
+ Coordinate and support executive-level meetings, including agenda development and follow-up actions.
Board & Governance Support
+ Lead the preparation and distribution of Board of Directors decks, ensuring accuracy, clarity, and alignment with strategic messaging.
+ Liaise with board members and senior leadership to coordinate meetings, materials, and communications.
+ Maintain records and documentation related to board activities and governance.
Strategic & Project Support
+ Support the CEO and CFO in the execution of strategic initiatives, including tracking milestones, preparing briefing materials, and coordinating cross-functional efforts.
+ Conduct research and synthesize information to support decision-making and strategic planning.
+ Assist in the development of executive communications, including speeches, reports, and investor materials.
+ Partner with internal teams to ensure alignment and progress on key business priorities.
Operational Excellence
+ Identify opportunities to improve executive workflows and implement best practices.
+ Act as a liaison between the executive office and other departments to ensure timely and effective communication.
+ Support special projects and initiatives as assigned by the CEO and CFO.
Qualifications
+ Bachelor’s degree preferred; advanced degree or certification in business administration or related field preferred.
+ Minimum of 7 years of experience supporting C-level executives, preferably in a global organization.
+ Exceptional organizational, communication, and interpersonal skills.
+ High proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint, Zoom).
+ Ability to manage multiple priorities in a fast-paced, dynamic environment.
+ Strong judgment, discretion, and a proactive mindset.
Preferred Attributes
+ Experience in board governance and investor relations support.
+ Demonstrated ability to contribute to strategic planning and execution.
+ Global business acumen and cultural sensitivity.
+ A collaborative spirit with a high degree of professionalism and integrity.
Physical/Environmental Requirements
+ Must be able to remain in a stationary position 50% of the time.
+ Constantly communicates with employees and leaders, both verbally and in writing.
+ Constantly operates a laptop or computer.
+ Work environment is typically an office environment during normal or extended business hours.
+ Ability to travel up to 25% of the time, domestically and internationally.
