Job Title: Executive AssistantJob Description
The Executive Assistant to the CEO and Board Liaison will provide crucial support to the Chief Executive Officer and the Board of Directors. This role involves handling business proprietary and confidential work, scheduling, coordinating, and preparing materials for Board and Committee meetings. The assistant will play a pivotal role in supporting the CEO and Board in driving the organization’s mission, vision, and values.
Responsibilities
+ Collaborate closely with the CEO to ensure efficient information transfer within the executive department.
+ Schedule meetings, book appointments, and manage travel accommodations for the CEO.
+ Manage the CEO's calendar, including scheduling, changing, or canceling meetings, appointments, and events.
+ Receive and screen incoming calls, correspondence, and emails while maintaining confidentiality and professionalism.
+ Arrange programs, company events, conferences, and meetings, ensuring all facilities, catering, and preparations align with objectives.
+ Implement policies and procedures for more efficient operations.
+ Arrange itineraries, compile documents for travel-related meetings.
+ Manage logistics for Board and Board Committee meetings.
+ Prepare, distribute, and maintain all Board documents including agendas, minutes, and resolutions.
+ Collect Board documents timely and obtain necessary signatures from Board members.
+ Coordinate Board Committee and Board meetings and initiate feedback loops with Board and executive leadership.
+ Organize, prioritize, and manage confidential information requiring the CEO's attention.
+ Conduct research and manage time-sensitive reports and statistical data.
+ Handle the budget and process finance documents, including expenses and purchase orders for the CEO's office.
+ Complete applicable expense reports for the Executive department.
Essential Skills
+ Minimum of five years of executive administrative experience, with at least three years supporting an Executive Officer or Director.
+ Ability to assess and respond to difficult or sensitive matters professionally.
+ Strong attention to detail and excellent communication skills, both verbal and written.
+ Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
+ Ability to manage calendars and provide executive support.
+ Experience in event coordination and clerical tasks.
+ Notary Public Services is a plus.
Additional Skills & Qualifications
+ Ability to write clearly and edit for composition and accuracy.
+ Knowledge of basic bookkeeping.
+ Ability to interact professionally with individuals at all levels of the organization and business community.
Work Environment
This position is based in an office environment in Hartford, CT, with working hours from Monday to Friday, 8:30 AM to 5:00 PM. The role offers the opportunity to grow within an amazing non-profit organization.
Job Type & Location
This is a Permanent position based out of Hartford, Connecticut.
Pay and Benefits
The pay range for this position is $82000.00 - $92000.00/yr.
Will be provided to candidate upon submitting to hiring manager. Already received from client.
Workplace Type
This is a fully onsite position in Hartford,CT.
