    GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

    Reporting to the Senior Manager, Security Operations, the Administrator provides critical administrative and operational support to the Chief Security Officer (CSO), Deputy Chief Security Officer (DCSO), and the Security Team. You will ensure the seamless and efficient functioning of the Security and Badging office and serves as the primary point of contact for projects related to buildings, construction, resource management, inventory control, and budget planning. You will build and maintain key relationships with stakeholders across the institution, to advocate for the needs and priorities of the CSO and Security Department. Additional duties will be assigned by the Senior Manager, Security Operations.

    PRIMARY RESPONSIBILITIES & DUTIES:

    + Manage Chief Security Officer’s and Deputy Chief Security Officer’s calendars, coordinate internal and external meetings, and ensure timely follow-up on priorities.

    + Draft, edit, and format correspondence, reports, and presentations with a high level of accuracy and professionalism.

    + Serve as a liaison between the CSO and Museum departments, including the Director & CEO Office, Office of the COO, General Counsel, Human Resources, and Management Team.

    + Facilitate communication with external partners such as law enforcement agencies, emergency services, and private security firms.

    + Support the CSO in fostering a culture of preparedness, responsiveness, and collaboration across the institution.

    + Arrange travel and accommodations for the CSO, DCSO, prepare detailed travel itineraries, and oversee expense reports related to travel as well as other general expenses for reimbursement.

    + Provide administrative support for security audits, risk assessments, and policy development.

    + Monitor timelines and deliverables for strategic initiatives led by the CSO.

    + Manage the logistical support for meetings, presentations, events and programing by developing agendas, coordinating presentation decks, and writing talking points to ensure smooth operation.

    + Provide comprehensive administrative support to the Security Department, including preparing materials for Board presentations, executive briefings, and institutional reports; monitoring and triaging emails; managing calendars; scheduling appointments; escorting guests; answering calls; drafting correspondence; and coordinating deliveries all while maintaining strict confidentiality.

    + Review and update existing Security Department policies and guidelines to ensure accuracy and relevance.

    + Act as the Security Department’s Procurement Ambassador, responsible for processing purchase requisitions, monitoring Purchase Order issuance, ensuring prompt invoice payment, and serving as the point of contact between Procurement/Finance and Security.

    + Maintain and update departmental contact lists and support documentation management as needed.

    + Organize and coordinate uniform and suit fitting sessions for supervisors.

    + Assist the Badging Office and provide backup support as needed.

    + Manage the Security Department’s Lost and Found program, ensuring proper documentation and disposition of items.

    + Initiate and track JIRA work orders for internal projects and maintenance tasks, coordinate with Technology/Help Desk to resolve related requests, and support Security Department special projects and initiatives.

    + Create, maintain, and update Security Department SharePoint sites to ensure accessibility and accuracy of information.

    + Available to work evening and weekend hours as needed

    + Other related duties as assigned

    REQUIREMENTS & QUALIFICATIONS:

    + Bachelor's degree or equivalent experience required.

    + Excellent written and oral communication skills and proven ability to work well in a complex, production-oriented, deadline-driven department.

    + Excellent organizational skills, detail oriented, and ability to manage multiple tasks simultaneously.

    + Must be able to interact and communicate effectively with all levels of Museum staff, as well as members of the Board of Trustees and other Board Committees, VIPs, donors, visitors, and guests.

    + Demonstrated experience working independently to resolve discretionary problems, and prioritize needs in a thoughtful and strategic manner.

    + Demonstrated successful project management and coordination experience.

    + Knowledge of software programs for managing projects, schedules, and budgets; strong quantitative skills.

    + Demonstrated experience operating with a high-level of discretion when working with confidential information and materials.

    + Thorough proficiency in Microsoft Word, Outlook, PowerPoint and Excel and willingness to learn new computer programs required.

    + Good judgment, clear decision-making, appropriate initiative and professional conduct

    COMPENSATION RANGE:

    + Pay Range: $90,000.00 - $95,000.00 / Annually

The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors.

    Location Requirements

    At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
