Job Description
SUMMARY
We are seeking a highly organized and professional Receptionist / Office Assistant to support our corporate office’s Front Desk afternoon shift. This role is ideal for someone who thrives in a fast-paced environment, has excellent communication skills, and enjoys being the first point of contact for both internal and external visitors. This is an on-site, Part-time position, Monday to Friday from 12:30 pm to 5:00 pm.
ESSENTIAL FUNCTIONS, RESPONSIBILITIES, AND DUTIES
Front Desk & Visitor Management
+ Answer and transfer calls using Microsoft Teams, ensuring a professional and welcoming first impression.
+ Greet and assist visitors, contractors, job applicants, and delivery drivers.
+ Manage visitor sign-in, issue badges, and maintain security protocols.
Mail, Packages & Shipping
+ Receive, sort, and distribute daily mail and packages.
+ Create shipping labels and coordinate pickups through FedEx.
+ Maintain delivery logs and ensure timely notification of recipients.
Administrative & Financial Support
+ Code and process invoices accurately.
+ Maintain organized filing systems (digital and paper).
+ Assist with office supply orders, postage machine management, and referral bonus tracking.
HR & Employee Support
+ Manage front desk and HR inboxes in Outlook, forwarding and flagging messages as needed.
+ Prepare employment verification letters and process unemployment claims.
+ Coordinate ID/access badge creation for new hires and replacements.
+ Support HR administrative tasks such as mailings, I-9 tracking, and other projects, as assigned.
Payrate $17 per hour
Requirements
EDUCATION
+ High school diploma or GED required.
EXPERIENCE
+ 1–2 years of administrative, receptionist, or front desk experience preferred.
COMPETENCIES
+ Excellent typing and computer skills are essential, with proficient knowledge of Microsoft Office Suite (Word, Excel, Outlook), and ability to create and manage PDFs.
+ Experience with telephone switchboards and call handling systems (e.g., Microsoft Teams) preferred.
+ Excellent phone etiquette and verbal communication skills in English.
+ Ability to multi-task and work efficiently with minimal supervision.
+ Strong attention to detail, punctuality, and professional appearance.
+ Customer service-driven with a positive, friendly demeanor.
+ Ability to understand and maintain confidentiality consistently.
+ Familiarity with ADP systems for HR and payroll support is welcomed but will train.
+ Experience with FedEx shipping tools and label creation is welcomed but will train.
+ Fluency in Spanish is a plus, but not mandatory.
Work Environment:
The work is performed in an office setting. The noise level in the company work environment is moderate.
