Job Description
BAE Systems is looking for a self-starting and motivated OPS Analyst to join our team at the NATO SEASPARROW Project Office (NSPO) in Arlington, VA. This position is part of the NSPO meeting support team, providing updates to senior stakeholders in a high-tempo IWS acquisition program office. The successful candidate will capture, synthesize complex technical and strategic discussions into clear, actionable outputs and proactively improve the efficiency of internal communications and reporting processes. This high-visibility position directly impacts the strategic decision-making process within NSPO, requiring attention to detail, strong technical writing skills, and the ability to manage sensitive information.
Job Function:
The successful candidate will be required to:
+ Attend and document, technical and strategic level meetings both virtually and on-site. Capture real-time notes, action items, and decision points during executive level and technical meetings.
+ Draft executive summaries, meeting minutes, and status updates for government and contractor leadership.
+ Coordinate meeting logistics including scheduling, agenda prep, read-ahead packages, and teleconference management.
+ Maintain a structured action item tracker and ensure timely follow-up and resolution.
+ Support the development of presentations, decision briefs, and stakeholder updates using PowerPoint and other IT resources.
+ Review, edit and format technical documentation for clarity and consistency as needed.
+ Ensure any items intended for public dissemination or release to the press receive timely approval through the relevant Public Release Authorities.
+ Identify and propose process improvements for workflow efficiency and stakeholder coordination.
+ Interface with cross-functional teams, including subcontractors, engineers, and foreign military stakeholders, to gather inputs and ensure accuracy of captured information.
+ Adhere to ITAR handling and documentation standards as applicable.
Required Education, Experience, & Skills
+ Bachelor's degree in a relevant field (e.g., Engineering, Communications, or Business).
+ Demonstrated 3-5 years technical writing experience in a DoD program support role or equivalent.
+ Proven ability to synthesize technical and strategic discussions into clear written outputs.
+ Experienced in a SharePoint environment or equivalent platforms and Microsoft Office Suite software products (PowerPoint, Excel, Word, Outlook).
+ Self-starter capable of working independently in a dynamic, mission-driven environment.
+ Strong interpersonal skills to engage with senior leadership, cross-functional teams, and diverse stakeholders effectively.
+ Working knowledge of ITAR and experience handling export-controlled information.
+ Excellent communication, organizational, and time management skills.
+ Comfortable working with sensitive or classified information under tight deadlines.
+ Ability to work collaboratively in an International team environment.
+ Active Secret U.S. government security clearance.
Preferred Education, Experience, & Skills
+ Experience supporting NAVSEA, PEO IWS, or similar Navy program offices.
+ Strong understanding of Department of Defense (DoD) acquisition processes, including documentation and reporting requirements.
+ Certification in technical writing
+ Proficiency developing Power BI/Power App dashboards, digital tools and trackers.
+ Experience with export-controlled information and International Traffic in Arms Regulations (ITAR) compliance.
Demonstrated ability to manage high-tempo environments with competing priorities and tight deadlines.
Pay Information
Full-Time Salary Range: $77809 - $132275
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
