Job Description
This position is one of the most important positions for our company! It is the FIRST Impression that anyone will receive when they walk through our doors or call. It requires a professional, kind, servant attitude always! Expectations include but are not limited to meeting/greeting everyone that walks in the front door, fielding calls and ensuring all responsible areas are tidy and presentable. Responsible areas include the Front Lobby, Front sitting areas, Training Room, Kitchen and café/lounge areas, outside seating.
Opening Responsibilities
• Turn ON TV's
• Make coffee
• Stock fridge if needed (Water)
• Responsible areas are cleaned/stocked
• Monday morning check mailbox for mail delivered on Saturday
• Check copiers for paper and replenish
Closing Responsibilities
• Turn OFF TV’s
• Clean coffee pots/machine
• Ensure all areas are tidy
• Make sure all packages are clear from the lobby area
Ongoing daily Responsibilities
• Check bathrooms for supplies and pick up any trash on floor
• Make sure all areas are presentable and address issues as they are made known
• Process and Deliver Mail and Deliveries
o Marketing materials/water/paper are to be delivered to appropriate areas
o Other medium/large mail is left in mail room - send receiver a message
o Mail – open and date stamp all mail and distribute to appropriate person
o Samples- write date on package and let PM know they arrived
o Insurance certificates – date stamp and scan to [email protected]
• Answer phones and field questions appropriately
• Track issues/needs with cleaning company
• Track supply inventory
• Place weekly supply order and process returns as needed
• Maintain Job/Contact/Inventory list
• Coordinate job site / office copiers & maintain copier records
*Building Maintenance/Fleet request go to the Building/Fleet Manager

Strong Organizational & Multitasking Abilities:
Capable of managing multiple responsibilities simultaneously, including mail processing, supply tracking, and maintaining common areas.
Professional Appearance & Demeanor:
Presents a polished and welcoming image at all times, as the first point of contact for the company.
Attention to Detail & Proactive Mindset:
Notices and addresses cleanliness, supply needs, and facility issues without being prompted.
Dependability & Punctuality:
Reliable in opening and closing duties, maintaining consistent presence and performance throughout the day.
Tech & Office Equipment Proficiency:
Comfortable using copiers, email, phone systems, and basic office software to manage communications and records.
