**Interview Process:** Phone screening followed by group interview with manager and two other team members
Contractor must have a computer, cell phone, and access to reliable high-speed internet.
**IT Systems That Will Be Used:** O365, Asana, Salesforce, NEIS, SharePoint, Tableau
Potential candidates:
+ Recent graduates with excellent organizational and communication skills - Program Operations & Partnerships team aims to standardize and improve processes and efficiencies.
+ Perhaps with background in customer service, procurement, administrative support, ticket resolution support, etc.
+ This role is administrative in nature. Not a technical position. No preference in degree/major.
Key Responsibilities:
+ Will be supporting tickets from 60-70 staff members - requests re: support for getting mini-bids up and running, procurement questions/assistance, writing up results of scoring committee decisions, Asana-related requests (e.g., someone needs to build out a new workflow, how Asana works)
+ 80% - Asana and procurement support (supporting development or issuance of mini-bid, supporting the scoring committee, etc.)
+ 20% Salesforce support
+ Follow up with anyone late on responding to a task, help ensure everything is on track.
+ Look at expenditure forecast for the business unit, assess trends, flag anomalies.
+ Next year might be more Salesforce than Asana. Team has been using Asana for about 6 months, still learning how to use Asana optimally.
+ Experience with Asana is helpful but training in Asana Academy will be provided.
The Assistant Project Manager will assist with the onboarding process of new staff into Asana, respond to tickets in a newly created Clean & Resilient Buildings (CRB) Program Operations ticketing system, and also support the CRB Salesforce work as directed by the Program Operations & Partnerships (POP) Program Manager.
Mandatory Qualifications:
+ 3 years of relevant experience as an Assistant Project Manager / Coordinator, operations/onboarding support, ticket resolution support, etc.
+ LEAN/six sigma training or experience.
+ Experience, knowledge and/or certifications in Asana.
+ Ability to understand and navigate different systems (experience with Tableau and/or Salesforce is a plus).
+ Strong written and verbal communication skills.
+ Analytical & critical thinking skills to triage issues.
+ Self-motivated with ability to work independently.
+ Ability to multi-task and superb organizational skills.
+ Associate's degree required, Bachelor's preferred.
Responsibilities:
+ Perform Asana onboarding tasks.
+ Provide initial training and workflow development guidelines for new team members.
+ Provide first level support, triage issues, and coordinate between internal analysts and program team members to assist in set up or troubleshooting systems.
+ Manage the Clean & Resilient Building (CRB) Program operations support tickets, providing procurement support.
+ Support the coordination, management and contracting of memberships and sponsorships of industry associations supported by the CRB team.
+ Run reports in Tableau, Salesforce and NEIS on commitments, expenditures and milestones to assist with program operations, including budgeting and forecasting.
+ Support the CRB Program Operations and Partnerships team with ensuring Salesforce optimally supports program operations and data collection.
+ Other duties as assigned that contribute toward the key outcomes of the Program Operations & Partnerships team.
