We are seeking a **_Sr. Medical Office Coordinator_** who will coordinate daily activities in a multi-faceted complex medical practice to ensure a smoothly functioning office and good patient relations. This position provides direct support to clinical staff on operational and administrative tasks including those related but not limited to templating, authorizations, scheduling, registration, ordering, electronic medical record usage and special projects, serves in lead capacity to orient, train and direct new patient service coordinators (PSC) and medial office coordinators. Works with clinic manager to manage PSC’s weekly schedules to ensure adequate coverage/support and serves as a resource in a team focused environment. They will address patient questions and concerns. Resolve issues promptly and accurately, use electronic medical record system to document all interactions with patients. Work with payors to learn requirements and obtain necessary authorizations for clinical procedures, services, medication, and supplies. Acts independently with professionalism and efficiency.
Specific Duties & Responsibilities
+ Trains new patient service coordinators and serves as lead for current PSC staff and other Medical Office coordinators.
+ Oversees day to day activities of PSCs and other medical office coordinators.
+ Assist with patient scheduling and registration, check-in/check-out, and coordination of cancellations and rescheduling of clinics.
+ Acts as subject matter expert for practice regarding insurance information, both government and commercial.
+ Routinely addresses complex situations based on past experiences, knowledge and understanding of healthcare resources and how they should be used. Examples may include working with VIP patients, international patients, insurance and unique scheduling situations.
+ Educates patients authoritatively about their coverage and payment responsibilities.
+ Obtains pre-certification/authorization and/or referrals as required by payors for clinical procedures, services, medication, and supplies.
+ Ensures patients understand and sign all necessary documentation related to insurance coverage (e.g. Advance Beneficiary Notice form, Exclusion of Benefits form, etc.).
+ Collects payment/s from patients as needed. Follow protocol for time-of-service collections.
+ Documents insurance information in the patients’ electronic medical record system accurately.
+ Reviews schedules in advance to verify insurance requirement and scheduled procedures and services requiring pre-authorization have been obtained.
+ Stays current on notices from payors on requirements for prior authorizations on new procedures, services and medications.
+ Acts as point person for questions from interdisciplinary divisions such as the Access Call Center.
+ Resolve patient questions promptly. Involves other staff/faculty or divisions as needed (e.g. billing).
+ Acts on medical records requests. Ensure all relevant outside medical records are received and scanned in advance of the appointment. Ensures physicians receive medical records in advance of visit/procedure.
+ Monitors in-basket messages in a timely manner. Resolve message if possible. Routes and/or reminds front desk and clinical staff as needed.
+ Participates in tasks needed to ensure compliance with regulatory requirements.
+ Monitors flow of office for improvement opportunities.
+ Performs other duties as needed.
Minimum Qualifications
+ High School Diploma or graduation equivalent
+ Three years progressively responsible medical office experience. Medical terminology required. Intermediate computer and proofreading skills required.
+ Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $18.20 - $33.90 HRLY ($62,296 targeted; Commensurate w/exp.)
