    Job Description

    The Talent Acquisition Administrator provides critical administrative and operational support to the Talent Acquisition and Workforce Planning department. This role ensures the smooth coordination of recruiting activities, maintains data integrity within the applicant tracking system (ATS), prepares reports, and assists recruiters and hiring managers with day-to-day processes. The ideal candidate is detail-oriented, organized, proactive, and capable of working effectively across time zones in a fast-paced, high-volume environment.

    Essential Duties and Responsibilities

    • Provide administrative support to the Talent Acquisition and Workforce Planning team, ensuring efficient coordination of recruiting activities.

    • Schedule interviews, coordinate candidate communication, and manage logistics for recruiter and hiring manager availability.

    • Maintain accurate and timely data entry in the Applicant Tracking System (UKG or similar), ensuring compliance with company and federal recordkeeping standards (EEO/OFCCP).

    • Prepare, run, and distribute weekly, bi-weekly, monthly, and quarterly talent acquisition reports for review by leadership.

    • Track open requisitions, candidate pipelines, and key recruiting metrics (time-to-fill, source of hire, offer acceptance rates).

    • Partner with recruiters to support candidate sourcing, screening, and onboarding activities as needed.

    • Collaborate with the Onboarding and Workforce Integration Manager to ensure a smooth transition from candidate selection to new hire onboarding.

    • Assist with requisition postings, applicant correspondence, and background check or E-Verify coordination.

    • Maintain recruiting documentation, templates, and communication materials to ensure consistency and compliance.

    • Support special projects related to process improvement, compliance audits, and system optimization.

    • Perform other administrative duties and projects as assigned.

    Skills and Requirements

    • Associate’s degree in Human Resources, Business Administration, or related field required; Bachelor’s preferred.

    • Minimum of two (2) years of administrative or HR support experience, preferably within a recruiting or staffing environment.

    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) required; experience with HRIS or ATS systems (UKG, iCIMS, Workday, etc.) preferred.

    • Familiarity with employment laws, recordkeeping requirements, and recruiting compliance (EEO, OFCCP, FAR/DFARS) a plus.

    • Strong organizational and time management skills, with the ability to manage multiple priorities and meet tight deadlines.

    • Excellent written and verbal communication skills with a professional demeanor.

     

    Proven ability to maintain confidentiality and handle sensitive information appropriately. · Certificate in HR Management preferred; PHR or SHRM-CP a plus.
