    The role you will contribute:

    Document Management Coordinator responsibilities include a wide variety of tasks that support both the Risk and Workers' Compensation departments. The tasks will include, but are not limited to, check writing, retrieve, sort, scan, upload, convert and link hardcopy mail; upload, convert and link incoming faxed and emailed documents. Prepare bills and mail to our bill review/repricing vendor. Support and maintain claims with lost time claim transfer spreadsheet. Manage the Data Verification project to include the W-9 clearance in support of our bill review/repricing vendor and Shared Financial Services department. Follow established procedures and escalate transactions to the Regulatory WC Manager, as necessary, to address customer needs sufficiently. The lead is responsible for giving team direction for daily work as well as broadcasting long range plans for the other team members who are in the same general role. The lead also holds responsibility for data tracking productivity reports for management and holds periodic accountability meetings with the manager. Similarly, the trainer is responsible for training all incoming new team members and ensuring their seamless integration into the team as well as all training of existing team members for new processes to supercharge the team for new initiatives.

    + Researches returned mail and reposts for mailing.

    + Other duties as assigned.

    + Manages Medical Only to Lost Time transfers.

    + Uploads litigation correspondence from the Office of the Judges of Compensation Claims.

    + Uploads incoming faxes.

    + Links new mail to Workers Compensation and Risk claims.

    + Writes checks for Workers Compensation and Risk invoices.

    + Retrieves hardcopy mail from the mailroom, sorts, scans, uploads, and links it.

    + Delivers hardcopy mail to on-site recipients and departments.

    + Verifies data within the bill review/repricing vendor system.

    + Clears W-9 forms and communicates with Shared Financial Services.

    + Researches stop payment requests for checks.

    + SPECIAL ASSIGNMENTS AND PERIODIC REQUESTS

    + Serves as back up on check release for medical bills with our bill review/repricing vendor

    + Serves as back up on Risk check release process

    + Must be able to interact with Legal, Accounting, Executive offices in person, by phone, or Teams Chat in a professional manner in short notice.

    The expertise and experiences you'll need to succeed:

    + High School Grad or Equivalent

    + Demonstrated computer skills and the ability to learn applicable software programs such as Origami Risk and Microsoft Word. MS Excel

    + Effective verbal and written communication and analytical skills

    + Prior document management software experience

    + Prior experience in performance of clerical work

    + Basic web navigational and computer skills required, including Outlook

    + Knowledge of Human Capital Management (HCM) system, especially PeopleSoft preferred

    Preferred Qualifications:

    + Associate Degree
