Job Description Summary
The Site Administrator provides comprehensive administrative support to the facilities team and ensures smooth day-to-day operations. This role requires strong communication skills, proficiency in Microsoft Office applications, and the ability to multitask in a fast-paced environment. The Quality Control Manager component of the role focuses on conducting inspections, ensuring compliance, and supporting continuous improvement across multiple sites.
Job Description
Administrative Support
+ Answer incoming phone calls and direct inquiries appropriately.
+ Maintain organized filing systems and records.
+ Communicate clearly with internal teams, especially in the manager’s absence.
+ Assist with payroll processing using Kronos.
+ Code and process invoices; manage timekeeping records.
+ Support event and meeting coordination, including setup and cleanup.
Reporting & Documentation
+ Run monthly and quarterly reports on maintenance and housekeeping hours and materials.
+ Create custom reports and maintain accurate documentation.
+ Maintain safety records and assist with incident reporting and workers’ compensation claims.
+ Support training coordination and documentation for employees.
Systems & Technology
+ Utilize Microsoft Excel, Word, PowerPoint, Access, and Outlook for reporting and communication.
+ Enter and manage data in internal systems.
+ Prepare presentations and assist with SOP development and updates.
Team & Vendor Coordination
+ Collaborate with the C&W Management team on site-specific job plans and procedures.
+ Coordinate with external vendors and specialists as needed.
+ Support long-range planning strategies aligned with company goals.
Quality Control Manager Responsibilities
Inspection & Compliance
+ Conduct daily quality inspections and generate reports.
+ Monitor subcontractor services and ensure compliance with standards.
+ Supervise inspectors, technicians, and other staff members.
Client & Team Communication
+ Understand client needs and communicate quality standards to operations teams.
+ Track and assist in resolving customer issues and follow up on outcomes.
+ Maintain strong relationships with clients through effective communication and delivery.
Process Improvement
+ Identify opportunities to improve service delivery and operational processes.
+ Support continuous improvement initiatives across sites.
Qualifications
+ Strong organizational and multitasking skills.
+ Excellent written and verbal communication.
+ Proficiency in Microsoft Office Suite.
+ Ability to work independently and as part of a team.
+ Experience in facilities management or administrative support preferred.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $20.40 - $24.00
