General Summary:
The Client Services Specialist/Graphic Designer supports the print shop by providing high-quality design services, processing customer orders, and guiding clients through the creation and production process. This role bridges creative design and customer service, preparing artwork for print and decorated apparel while maintaining strong communication with clients, university departments, and internal teams. The role will also offer mentorship and guidance to student graphic design assistants, though it does not include formal supervisory duties.
Key Responsibilities
+ Client Service & Order Processing
+ Assist customers with placing orders for print materials and decorated apparel.
+ Consult with clients to understand project goals, branding requirements, and design preferences.
+ Provide proofs and revisions while ensuring client approval and satisfaction.
+ Graphic Design & Production Preparation
+ Create and adapt artwork for use in print, apparel, signage, and promotional materials.
+ Prepare and preflight digital files for various print and production processes (CMYK, screen printing, embroidery, etc.).
+ Maintain brand standards for university or institutional materials.
+ Project Coordination
+ Manage multiple design and print projects from concept to final output.
+ Collaborate with print and production staff to ensure timely, accurate job completion.
+ Team Collaboration & Mentorship
+ Provide guidance and feedback to student graphic design assistants.
+ Support a collaborative, creative work environment within the shop.
This is a temporary position in which the appointment expires 1 year from the start date
Responsibilities:
Team Participation:
+ Support team members by completing work on time and then looking for additional tasks or ways to offer assistance.
Customer Service:
+ Assist customers with the coordination of printing projects, responding to telephone & walk-in orders and inquiries. Assistance includes help submitting requests, decisions about paper, ink, design needs, etc., in cooperation with designers; providing estimates when customers require them; and act as a resource for information about printing, publishing, and brand guidelines for the university.
Data Entry:
+ Accurately document job details for print, design and billing of customer projects. And accurate record keeping of expenses and invoices in accounting platforms.
Artwork Submissions:
+ Process incoming artwork work requests, including verifying brand guidelines for all provided artwork, customizing brand-approved templates for requested jobs, and creating new artwork as requested. All artwork must be client-approved before production.
Pre-Production:
+ Setting up print jobs for production and occasionally assisting with running digital press to produce print. Communicate jobs with vendors and follow up to ensure completion.
Post Production:
+ Assist in bindery and post-production operations, including, but not limited to, cutting down jobs, folding, scoring, collating, padding, stapling, numbering, drilling, stuffing, and any additional tasks in a cooperative and helpful manner.
Order Completion:
+ Pull samples from completed orders, verify quality & consistency of print, package complete jobs, combine with job tickets, confirm all paperwork with job tickets, prepare delivery tickets, and communicate with clients about job completion.
+ Maintains 100% compliance with timely completion of required System, University and job-specific online training courses.

Necessary Qualifications:
+ High school diploma or equivalent combination of education and experience.
+ One (1) year of related experience in graphic design, a print shop, apparel decoration, or production environment.
+ Service oriented and comfortable working in a fast-paced, customer-facing environment.
+ Ability to translate client ideas into effective visual solutions.
+ Familiar with Mac and PC use Adobe Creative Suite: specifically, Illustrator, Photoshop & InDesign
+ Excellent communication and interpersonal skills.
+ Customer-focused mindset with problem-solving abilities
Preferred Qualifications:
+ Associate’s or Bachelor’s Degree in Graphic Design, Visual Communications, Digital Media, or related field
+ Three (3) years of experience in graphic design, digital printing, or decorated apparel production.
+ Adobe Certified Professional (ACP) in Graphic Design or related discipline
+ Strong sense of visual design, layout, and typography.
+ Working knowledge of prepress and print production processes.
+ Ability to prepare print-ready files and understand production specifications.
