    Job Summary

    The Department of Psychology in the College of Literature, Science, and the Arts (LSA), is looking for a Graduate Program Coordinator (Student Administrative Assistant Senior) who is committed to and passionate about assisting students with their development and success in academic programs. This position engages with students, faculty, and departmental leadership to facilitate and enhance all aspects of the graduate student experience. The Graduate Program Coordinator works with a team of student service personnel to provide support to about 180 students across nine graduate programs. This role provides comprehensive student services, which includes advising students on academic progress, assisting with admissions and departures, overseeing new student orientation, coordinating and processing funding and benefits, managing student awards, and coordinating student events. The position requires ongoing collaboration with university offices and strong organizational, communication, and problem-solving skills to support student success and program operations.

     

    The Graduate Program Coordinator will report to the Director of Student Academic Affairs.

    Responsibilities*

    Graduate Program Support:

    + Academic Support: Maintain accurate records in the LSA Graduate Student System, monitor student progress to degree and submit documentation of all milestones, coordinate the student annual report and review, communicate academic policies and expectations, serve as a liaison between students and their faculty advisors, and serve as a liaison between students and various university units to help students with matters arising.

    + Funding: Post tuition, stipend, and benefit payments; maintain accurate funding plans in appropriate record systems. Manage the tracking system for graduate student professional development funds.

    + Admissions & Departures: Utilize Wolverine Access and CollegeNet to organize more than 700 applications annually and assist faculty, admissions committees and prospective students at all stages of the admissions process. Oversee onboarding and offboarding for all graduate students.

    + Awards: Organize and oversee the scheduling and application process for departmental, college, and external student awards.

    Data Management and Reporting:

    + Work with department leadership and LSA Business Analyst to update 5-year graduate student funding projections

    + Work independently and with other program staff to develop standard and ad hoc reports on student funding, admission trends, student progress to degree, and other data related to student services.

    + Prepare annual funding reports for Rackham and LSA.

    + Update the alumni database after every cohort graduation and when needed.

    + Provide data to support internal and external Training Grant applications.

    + Respond to inquiries from external entities for program reports, including HHS-NIH, APA, and others.

    Event Planning, Program Support, and Professional Development:

    + Take the lead or assist with planning, organizing, and implementing a variety ofstudent events including recruitment activities, new student orientation, graduate student professional development and social events, department commencement, and other events in support of the graduate and undergraduate programs.

    + Coordinate weekly newsletter for students.

    + In collaboration with the program director, identify and participate in LPD courses that address skills needed in this position and in preparation for future opportunities.

    + Attend Rackham and LSA Graduate Coordinators Forum meetings as appropriate.

    + Seek service opportunities on departmental, college, and university committees as appropriate.

    Required Qualifications*

    + Associate degree or equivalent and more than three years related experience in coordinating programs and/or events in an academic setting.

    + High level of proficiency with spreadsheets and database software applications.

    + Event and program planning experience.

    + Demonstrated ability to take initiative, think creatively and problem solving.

    + Ability to work independently and as part of a team that values openness, positivity and hard work.

    + Demonstrated ability to manage and organize a variety of work duties simultaneously under timelines and within a fast paced environment.

    + Enthusiasm and energy for working on behalf of students and their career interests.

    + High level of professionalism, and demonstrated excellent customer service.

    + Strong organizational skills and attention to detail.

    + Strong communication skills including verbal, writing and listening skills.

    + Contribute to a diverse environment of colleagues and students representing diverse populations.

    + Ability to set expectations and achieve results while contributing to the harmony of the team.

    + Strong computing skills including knowledge of Microsoft Office suite and Google apps, online research skills and general comfort with web based systems.

    Desired Qualifications*

    + Bachelor's degree

    + Knowledge of and experience with web-based surveys.

    + Knowledge of University of Michigan policies.

    + Some experience and skills with Wolverine Access, M-Pathways, Business Objects, InfoReady, MailChimp, and Canva.

    Additional Information

     

    The salary range for this position is $47,600 to $59,500, please note a higher salary may be offered based on equity and the selected candidate's experience.
