    Salary Range: $39.62 - $45.16

    Position Summary

    Under supervision, is responsible for the management, operations, financial, and administrative matters of the office.

    Job Responsibilities

    + Coordinates appointments, meetings, and special engagements using appropriate discretion and judgment in scheduling. Plans and implements all related logistics and necessary arrangements.

    + Prepares presentations, materials, reports and documents as required. Coordinates assembly and distribution of materials for various meetings.

    + Processes/facilitates HR processes, including the onboarding of new hires, terminations, transfers, promotions, PTO requests and/or FMLA requests.

    + Assists in the consolidation, relocation and/or procurement of existing or new office space. Liaises between the department leadership and external/internal vendors to ensure smooth transitions and departmental readiness for business.

    + Analyzes current administrative operations, and implements changes to ensure more productive and efficient overall operations.

    + Manages the department's filing system. Converts documents to electronic format as needed. Actively manages the electronic data system; organizes department files/interactions with off-site document storage facilities.

    + Directs accounts payable activities for operational expenses. Resolves any outstanding issues and allocates proper funding sources.

    + Initiates and reviews contracts with outside facility vendors to secure cost efficient rates.

    + Monitors technology needs and recommends upgrades.

    + Responsible for procurement activities related to goods, services, and/or equipment as needed.

    + Responsible for disbursement/reimbursement activities as needed.

    + Maintains inventory of supplies, equipment and/or reagents. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.

    + Answers phones, responds to inquiries and triages calls to appropriate personnel.

    + Ensures office space is clean and properly maintained.

    + Responsible for related duties and particiates on projects as needed; manages project timelines as necessary.

    Education

    + High School Diploma

    Experience

    Approximately 3 years of prior administrative support experience.

    Knowledge, Skills and Abilities

    + Excellent communication skills (both verbal and written).

    + Demonstrated organizational skills and ability to pay close attention to detail.

    + Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise "people skills".

    + Demonstrated proficiency with MS Office Suite and database applications, especially MS Excel.
