This role is part of the corporate executive leadership team, supporting a C-suite Executive Vice President by providing strategic administrative and organizational management. This job is a member of the Commercial team and is responsible for providing key administrative, clerical, and organizational support to the EVP, Chief Commercial Officer.

+ Safeguard highly confidential and sensitive information, demonstrating emotional intelligence to discern relevance and importance. Uphold the integrity of proprietary data, both internally and externally.
+ Manage multiple active calendars concurrently, ensuring schedules are followed and respected. Adapt to fluid environments, adjusting calendars accordingly and removing logistical obstacles to allow executives to focus on strategic leadership.
+ Arrange complex domestic and international travel, including accommodations, transportation, and itinerary creation. Anticipate travel needs, mitigate issues and collaborate with relevant resources to resolve concerns promptly. Ensure executive is properly briefed and has all necessary details and materials for meetings, presentations, etc.
+ Interact professionally with senior leadership, executive management, internal and external partners, and community leaders. Meet and greet guests of a senior status, representing the company with professionalism and courtesy.
+ Evaluate and respond to or redirect inquiries, requests, and complaints from internal and external stakeholders. Monitor emails and correspondence, composing responses with attention to detail and accuracy.
+ Take a lead role in planning and preparing meetings and events, including logistics, presentations, catering, and venue selection. Provide onsite support, proactively resolving unexpected concerns to ensure seamless executions.
+ Partner with Executive Recruitment to review candidates, develop job descriptions and interview questions, conduct interviews, advance candidates, and onboard executive assistants as needed. Create and hold networking opportunities to establish pipeline for future talent.
+ Act as a representative of the Senior Officer Team in all interactions and communications.
+ Maintain a flexible schedule to accommodate changing priorities, including early mornings, evenings, through lunch, and occasional weekend hours. Provide backup assistance to the CEO’s office on a rotating basis.
+ Lead and mentor by providing career guidance and growth support to all levels of the Executive Assistant team.
+ Display leadership by promoting a culture of collaboration and maintaining open communication with internal and external executive assistants. Serve as a company resource by maintaining a knowledge base of key contacts, tools, policies, and procedures.
All you'll need for success
Minimum Qualifications- Education & Prior Job Experience
+ Bachelor’s degree in relevant field or equivalent experience/training
+ 4 years of experience in a prior Executive Assistant role supporting a C-Suite Executive
Preferred Qualifications – Education & Prior Job Experience
+ Master’s degree (MBA or Master’s in Organizational Leadership)
+ 7+ years of experience in a prior Executive Assistant role supporting a C-Suite Executive
Skills, Licenses & Certifications
+ Extensive knowledge of Microsoft Outlook
+ Knowledge of Microsoft Office Suite to include Word, Excel, PowerPoint, etc.
+ Extensive knowledge of policies, procedures, key contacts, and corporate structure
+ Proficient in basic administrative tasks such as expense reporting, time and attendance, supply management, invoicing, etc.
+ Ability to be self-motivated with strong organizational skills, ability to prioritize work and meet deadlines
+ Ability to demonstrate excellent analytical and problem-solving skills
+ Ability to perform in a fast-paced environment, handle multiple tasks simultaneously, work extended hours and/or weekends as needed
+ Ability to partner and collaborate with other Executive Assistants and team members in a proactive and positive manner
+ You are known for your emotional/social intelligence, your extremely high level of professionalism, and your positive ‘can-do’ attitude
+ You possess expert-level writing, editing, grammatical, and research skills
+ Demonstrate leadership and diplomacy to maintain credibility, trust and support with senior management
+ Must fulfill FAA criminal background checks to qualify for unescorted access privileges to airport security identification display areas (SIDA), if applicable
+ Ability to secure appropriate airport authority and/or US Customs security badges, if applicable
