What We Want
The College of Performance, Visualization & Fine Arts is seeking a supportive and detail-oriented Administrative Coordinator II to provide comprehensive administrative and operational support for the Live Lab, Esports initiatives, and related college programs. This position focuses on student hiring and support, onboarding, vendor and government contract management, and daily operations, while assisting with project activities and funding proposals of limited scope. The role requires strong organizational skills, attention to detail, and the ability to anticipate the needs of leadership, faculty, and students, while ensuring smooth communication and collaboration across departments.

Essential Duties/Tasks
Administrative Support & Operations
+ As the Administrative Coordinator II, you'll play a pivotal role in supporting the dynamic operations of the Live Lab and Esports initiatives. You'll oversee student hiring, onboarding, and support, ensuring a smooth and welcoming experience for new team members. Your expertise in vendor coordination and contract management—including government compliance—will help maintain seamless partnerships and services.
+ You'll collaborate closely with faculty, staff, and program leadership to manage calendars, meetings, and communications, while also handling confidential correspondence and reports with professionalism and discretion. From coordinating travel logistics for staff and guests to providing hands-on support during events and daily operations, this role offers a unique opportunity to contribute to innovative programs in a fast-paced, collaborative environment.
Project & Proposal Coordination
+ In this role, you'll be at the heart of coordination for the Live Lab, Esports, and affiliated college programs—ensuring that operations run smoothly and events make a lasting impact. You'll manage logistics for guest visits, workshops, tournaments, and student engagement activities, creating memorable experiences for participants and partners alike.
+ As a key representative of the Live Lab and Esports initiatives, you'll communicate with faculty, staff, students, and external collaborators to foster strong relationships and promote program visibility. You'll also contribute to workflow documentation, quality control, and risk mitigation strategies, helping maintain high standards across all projects. Working closely with a collaborative team, you'll help drive progress toward project milestones and operational goals in a fast-paced, innovative environment.
College & Program Initiatives
+ As a key contributor to the success of the Live Lab and Esports programs, you'll provide vital coordination support across a range of innovative college initiatives. From managing logistics for guest visits, workshops, tournaments, and student engagement events to ensuring every detail runs smoothly, your organizational skills will help bring dynamic experiences to life.
+ You'll also serve as a primary point of contact, representing the programs in communications with faculty, staff, students, and external partners—building strong relationships and fostering collaboration across the college and beyond.
Qualifications
Required Education and Experience
+ Bachelor's degree or equivalent combination of education and experience.
+ Three years of experience in office administration.
Preferred Qualifications:
+ 2-3 years of Project Management experience
+ Experience supporting higher education operations, student programs, or Esports initiatives.
+ Familiarity with project management tools such as Jira, Confluence, Smartsheet, or Microsoft Project.
+ Experience with vendor management and contract coordination.
+ Demonstrated ability to streamline administrative processes and improve efficiency.
Knowledge, Skills, and Abilities:
+ U.S. citizenship required.
+ Excellent organizational, problem-solving, and multitasking skills.
+ Strong oral and written communication skills.
+ Proficiency in Microsoft Office Suite, database management, and project tracking tools.
+ Ability to manage multiple priorities and maintain confidentiality.
+ Strong interpersonal skills for working with students, faculty, vendors, and staff.
+ Experience coordinating with government contracts and compliance requirements.
