Job Title: Office/AP Associate
Job Description
The Accounts Payable/Office Associate will play a crucial role within the Treasury Operations organization, supporting invoice payment processes and managing mailroom activities. This position involves partnering with internal business stakeholders and external vendors to ensure efficient mailroom operations and precise invoice processing.
Responsibilities
+ Lead mailroom activities including processing incoming and outgoing mail, mailing checks, and managing expedited deliveries.
+ Open, sort, and deliver incoming mail to the appropriate business personnel.
+ Assist in copying, assembling, and binding documents produced on digital copiers.
+ Take a lead role in reconciliation and invoice processing for various vendor accounts.
+ Ensure accurate and timely processing of vendor invoices and collaborate with vendors to reconcile invoice statements.
+ Evaluate vendor accounts and recommend system and automation improvements to streamline processes.
+ Receive and sort incoming mail and packages, inspect for damage, and report issues.
+ Distribute sorted mail and packages promptly to appropriate departments or individuals.
+ Prepare and dispatch outgoing mail, ensuring proper postage and timely delivery.
+ Maintain a clean and organized mailroom, operate mailroom equipment, and perform routine maintenance.
+ Review, verify, and process invoices and expense reports, and match purchase orders to invoices.
+ Reconcile vendor statements and coordinate with vendor receivables departments.
+ Monitor email inboxes, triaging inquiries and resolving errors.
+ Attend meetings and act as the department's liaison for mailroom vendor information.
+ Recommend process improvements for mailroom activities and invoice processing.
+ Complete testing in ERP and subsystems for system upgrades and enhancements.
+ Resolve tickets related to vendor invoicing issues.
Essential Skills
+ Proficiency in accounts payable and invoice processing preferred.
+ Experience with purchase orders and data entry.
+ Strong skills in Microsoft Excel.
+ Attention to detail.
+ Strong written and verbal communication skills.
+ Ability to multitask and effectively transition between tasks in a fast-paced environment.
Additional Skills & Qualifications
+ Experience working in a high volume, fast-paced department.
+ Ability to quickly learn and adapt to new processes.
Work Environment
This is a full-time, salaried role based out of the corporate offices in Cuyahoga Falls, OH, with a minimum in-person requirement of three days per week. The position is within a high-volume, fast-paced department, offering the potential to become a full-time employee with a great company. The work environment involves in-office collaboration and requires effective real-time support.

Pay and Benefits
The pay range for this position is $45760.00 - $45760.00/yr.
The actual wage offered to the successful candidate will be based on multiple factors, including, but not limited to, job-related knowledge/skills, experience, business needs, geographical location, and internal pay parity.
