Qualifications:
+ 2+ years of recent experience in purchasing, procurement, or administrative support.
+ Experience in vendor management and communication.
+ Proficiency in processing purchase orders and invoices.
+ Strong computer skills, particularly with Microsoft Office Suite and basic Excel.
+ Excellent organizational and multitasking abilities.
+ Proficiency with ERP systems.
+ Strong communication skills for teamwork and vendor coordination.
+ HS Diploma or GED minimum required.
Work Environment
The work environment is clean and well-maintained, with a personal workspace provided. The dress code is casual, allowing jeans, but business casual attire is required when hosting visitors. The team enjoys a friendly office atmosphere with regular celebrations and food orders every other Friday. The office houses a small group of 20 people on-site, with some remote work available primarily for sales roles. Working hours are from 8 am to 4:30 pm, with the first day scheduled from 8 am to 5 pm.
Job Description
As a Purchasing Administrator, you will provide essential support to the purchasing and supply chain operations. You will oversee inventory levels, process purchase orders, and ensure the ERP system is current. You will also manage vendor relationships and assist with logistics, shipping, and marketing efforts.
Responsibilities
+ Monitor inventory levels for pump parts, components, and marketing materials.
+ Process purchase orders and maintain accuracy in the ERP system.
+ Track vendor lead times and manage vendor escalations and expedite requests.
+ Collaborate with Quality to resolve vendor non-conformance issues and RMAs.
+ Serve as the primary contact for vendor-related inquiries and build strong vendor relationships.
+ Evaluate supplier performance and provide constructive feedback.
+ Research and onboard new vendors as needed.
+ Coordinate and track inbound and outbound shipments, both domestic and international.
+ Partner with freight carriers for air, ocean, and ground shipments.
+ Ensure shipping documentation is accurate and customs-compliant.
+ Address delays and resolve shipping issues proactively.
+ Manage inventory of marketing collateral and coordinate with vendors for event materials.
+ Assist in planning and executing trade shows and conferences.
+ Review and proof marketing content for consistency and quality.
+ Organize and track trade show and promotional budgets.
+ Maintain organized purchasing, shipping, and vendor records.
+ Create reports on supplier performance, shipping timelines, and inventory status.
+ Support cross-functional teams in supply chain, operations, and marketing.
+ Identify and implement process improvements.
Pay and Benefits
The pay range for this position is $21.63 - $24.03/hr.
