    Responsible to: Director of Residential Services- OPWDD

    Job Summary:

    The Administrative Assistant, OPWDD supports and reports directly to the Director of Residential Services and will assist Management staff as needed. This includes communicating and interacting with various departments, levels of management, staff, and external governmental agencies.

    Essential Job Duties:

    + Must be able to work under pressure while maintaining a positive attitude and providing exemplary

    + Customer service.

    + Must be able to work independently and to carry out assignments to completion and follow instructions given, carry out daily and weekly routines.

    + Supports administrative requests from the Director of OPWDD Residential Services and other management staff within the department as requested.

    + Coordinate all regulatory OPWDD survey results and responses to QI/Compliance for Department on behalf of the Director of OPWDD Residential Services.

    + Responsible for managing users and contacts in database systems such as Therapy and CHOICES

    + system.

    + Creates and maintains annual dashboard data in excel for department and provides monthly reports to direct supervisor. This dashboard data contains information related to qualify of life, QI and Financial reports.

    + Responsible for completing renewal application for Controlled Substance Licenses for all OPWDD sites that administer and waste medications (controlled substance). Will submit an e-Req for the renewal fee and obtain appropriate RN signatures for application and cover letter prior to sending to DOH.

    + Assists in updating and maintaining all Division/Program specific policies and procedures (hardcopy and electronic).

    + Will be the first approver for I/DD department’s Agency and Individuals’ Personal Allowance e-Reqs submitted by management staff. Must be familiar with Agency e-Req procedures and OPWDD Individuals’ Social Security benefits and resource limits as well as OPWDD Personal Allowance regulations.

    + Assists with daily office functions including mail delivery, ordering supplies, submitting requisitions (eReqs)to be paid and submitting service IT/ Maintenance requests as needed.

    + Annual Purging of records and periodic closing Of records due to individual’s discharge or death.

    + Any other duty as requested by your supervisor.

    + Detail Orientation with numerical and Key boarding accuracy

    + Proficient computer skills such and experience with Microsoft Office (i.e. Word, Excel, Outlook).

    Required Education and Experience:

    High School Diploma or GED equivalent with at least 3 years working in an administrative or similar experience.

     

    OR Associates/Bachelors with some experience working in an administrative or similar experience

    Physical Requirements:

    + The overall nature of the position is sedentary requiring little physical effort with occasional light physical

    + Exertion required. There is little, if any, exposure to environmental conditions.

    + The constant physical demand of the position is sitting.

    + The frequent physical demands of the position are standing, walking, climbing, talking, hearing, repetitive motions, and eye/hand/foot coordination.
