JOB SUMMARY
Under general supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers.
JOB RESPONSIBILITIES
1. Executive Support:
+ Assist Executives: Provide administrative support to directors, office heads, or other assistants and program managers.
+ Calendar Management: Manage and coordinate complex schedules, including meetings, and appointments.
+ Communication Management: Handle communication on behalf of GDOT management, including emails, calls, and correspondence.
2. Process Management:
+ Streamline Operations: Identify inefficiencies in processes and work to improve or streamline operations.
+ Documentation: Create, maintain, and organize critical documents, ensuring they are up-to-date and accessible.
+ Reporting: Prepare and review reports, presentations, and other important documents for accuracy and alignment with organizational goals.
3. Meeting Coordination and Facilitation:
+ Meeting Facilitation: Organize and facilitate meetings, ensuring agendas are prepared, minutes are taken, and follow-ups are conducted.
+ Cross-Departmental Coordination: Collaborate with various departments to ensure that meetings and initiatives align with broader organizational objectives.
4. Project Coordination:
+ Project Support: Assist tracking progress, keeping up with escalation memos and milestones and ensuring deadlines are met.
5. Interview Coordination:
+ Candidate Management: Coordinate, document and facilitate interviews, including scheduling, communication with candidates, and ensuring a smooth interview process.
+ Onboarding Support: Assist with onboarding processes for new hires, ensuring they have the resources and information needed to start effectively.
6. Data Management:
+ Information Analysis: Review and analyze data to support decision-making processes for executives.
+ Record Keeping: Maintain accurate records related to projects, operations, and executive activities.
7. Relationship Management:
+ Internal Communication: Serve as a point of contact between executives and other employees, ensuring smooth communication and coordination.
8. Event Planning:
+ Organize Events: Plan and execute events, meetings, and conferences, handling logistics and coordination.
9. Strategic Planning Support:
+ Support Strategic Initiatives: Assist in the planning and execution of strategic initiatives, providing administrative and operational support to ensure alignment with business goals.
10. Compliance and Risk Management:
+ Ensure Compliance: Help ensure that the organization adheres to legal and regulatory requirements, maintaining records and supporting audits.
STATE ENTRY QUALIFICATIONS
High school diploma/GED and three (3) years of job-related experience; or one(1) year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.
MINIMUM QUALIFICATIONS
+ Demonstrated ability to develop, negotiate, and/or administer contracts or evaluations for a business or government organization.
+ Experience with invoicing, accounts payable applications, and compliance tracking.
+ Experience creating reports and monitoring project progress.
+ General knowledge of computers and software programs such as MS Access, Outlook, Excel, PowerPoint, TPro, SharePoint, and TRAQS is preferred.
+ Demonstrated ability to identify, analyze, and resolve problems.
+ Strong decision-making skills with the ability to reason and make well-informed judgments.
+ Ability to organize work, set priorities, and achieve objectives under tight deadlines.
+ Demonstrated experience working and communicating effectively with clients, customers, and employees to meet expectations.
+ Commitment to providing excellent customer service.
+ Strong communication skills with the ability to listen, interpret, and express ideas effectively to individuals and groups.
+ Demonstrated ability to monitor and evaluate progress toward goals.
+ Experience using computer applications to analyze and communicate information in appropriate formats, improve work processes, and enhance efficiency.
+ Extensive knowledge of accounting, statistical analysis, spreadsheets, and word processing applications.

Interview & Selection Process:
The interview is one part of the overall selection process and is not the only factor considered. The final selection will also be based on the applicant’s work history, employee status in PeopleSoft, performance reviews, disciplinary record, background checks, employment references, and, where applicable, demonstrated leadership skills.
Good Employment Standing:
In accordance with the Interview and Selection Process (ISP), an applicant must have no active disciplinary actions to be in good employment standing. Disqualifying actions include active letters of reprimand, suspensions without pay, disciplinary demotions, Performance Improvement Plans (PIP), or Leave Restriction Plans. Applicants must also have a minimum performance rating of three (3) or higher on their most recent e-Performance evaluation.
Position Status:
This is an unclassified position. The selected candidate will be subject to a reference check and criminal background check, where applicable.
Compensation:
Upon promotion, the selected candidate will receive 10% or the GDOT job-specific minimum salary, whichever is greater.
