Student Accounts Technician
JOB SUMMARY
The Student Accounts Technician performs a variety of paraprofessional accounting and clerical duties in support of the college’s financial operations. Under general supervision, this position reviews source documents, records financial transactions, and reconciles accounting records. Duties include operating or assisting with cash register functions, receiving and recording cash, check, and credit card payments, preparing payment requests and checks, and completing bank deposits and related processes. The Student Accounts Technician also serves as the receptionist and initial point of contact for the Student Accounts Office and the Office of the Vice President for Administrative Services, providing professional and courteous service while performing routine clerical tasks.
MAJOR DUTIES
• Processes various accounts payable; contacts vendors to resolve questions;
• Prints and distributes checks;
• Enters routine financial transactions into accounting systems; verifies and corrects information; reconciles accounting records;
• Receives and batches source documents according to applicable methods;
• Correctly records transactions in a timely manner;
• Reviews recorded transactions for accuracy of entry; Corrects entry errors; Appropriately refers problems;
• Completes reconciliations within appropriate time frames;
• Organizes and maintains departmental records and files;
• Receives, controls and records cash, check, and credit card payments; operates or assists with cash register functions as needed;
• Properly receives and records receipts and computes accurate totals;
• Accurately identifies, traces, corrects, and reports to supervisor any discrepancies between receipts and cash/check/credit card receipts;
• Accurately codes receipts for entry into the accounting records;
• Deposits or forwards funds to appropriate staff according to established procedures;
• Determines appropriate revenue coding for unidentified receipts;
• Uses professional demeanor when receiving money from students for all fees, i.e. registration, parking, dining hall, etc.;
• Accurately maintains current codes and fee amounts;
• Accurately balances and closes cash register;
• Prepares bank deposits;
• Accurately counts cash, checks and/or money orders and correctly records results;
• Reconciles receipts with total deposit, correcting any errors;
• Correctly completes deposit documentation and retains appropriate file copies;
• Effectively communicates with bank staff to resolve problems/discrepancies;
• Properly secures funds until they can be deposited;
• Establishes, maintains and processes third-party contracts and scholarships in the student accounts receivable system;
• Establishes, maintains and processes electronic billing and payment processes within the third-party vendor systems;
• Attends training and implements processes as directed;
• Processes external source charges to the student accounts receivable system;
• Enters payments data into student accounts records;
• Generates BANNER and other reports and distributes to staff;
• Collects appropriate data as directed;
• Prepares routine reports according to guidelines for format and content;
• Makes appropriate calculations and verifies the accuracy of date;
• Submits reports in a timely manner and according to established procedures;
• Provides information and assistance to callers and visitors;
• Performs routine general clerical duties;
• Displays a high level of effort and commitment to performing work; operates effectively within the organizational structure; demonstrates trustworthiness and responsible behavior;
• Assists in fleet scheduling
• Processes vehicle requests, maintains reservation calendar, and coordinates vehicle maintenance;
• Participates in assessment, planning, budgeting, and staff development;
• Performs other duties as assigned.

MINIMUM QUALIFICATIONS
• High school diploma or equivalent *and* One (1) year of experience in bookkeeping or accounting clerical work
PREFERRED QUALIFICATIONS
In addition to the minimum qualifications:
• Degree or Technical Certificate in Business or Accounting
• Experience working with BANNER Student A/R System
• Customer Service experience in an office setting
