The Executive Office to the COO for the commercial business seeks an experienced Executive Admin to support the Chief of Staff and the broader organization on cross org events and programs.
The COO organization enables Microsoft’s commercial business to better serve every person and organization’s transformation and economic success. How? We design, build, and manage the levers that accelerate commercial growth and shorten the cycle between customer signal and delivery.
The Executive Office team supporting the COO plays a pivotal role in this journey and is responsible for maximizing the scale, impact, and voice of the COO and the broader organization. We accomplish this through four pillars: business operations, people & culture, communications, and cross org strategic project & program orchestration.
The successful candidate can effectively manage a demanding workload under time constraints with a calm, confident and positive attitude. Has the ability to work independently, deal with ambiguity, and expects to deliver while acting as a representative of the executive they support. Excellent communications skills, the ability to prioritize effectively, and handle multiple time-critical tasks simultaneously are a must. This role requires complex calendaring skills, senior stakeholder engagement, operational excellence, and an effective use of data and business systems.
Responsibilities
+ Manages leaders’ calendar, meeting logistics, and delegation. Coordinates with peers and stakeholders on priorities, decisions, and information. Acts as a backup to the Executive Admin supporting the COO of the commercial business. Handles urgent and high-impact needs. Tracks actions and follows up.
+ Works with executive leader(s) and Chief of Staff on annual RoB for the org and broader commercial business, including calendar(s) and meeting schedules. Communicates RoB cadence and manages workloads. Advises on distribution plan for confidential communications. Implements and adjusts RoB with peers. Ensures team alignment with RoB.
+ Manages, plans, and develops cross org events. Takes responsibility for event outcomes and demonstrates executive presence. Leads a team of event planners if needed. Partners with management to understand event aspirations and target goals. Develops and leverages resources for reuse to drive efficiency. Contributes to development of workback schedule, promotion, and necessary checkpoints.
+ Leads and nurtures the Executive Admin community by fostering collaboration, sharing best practices, and driving skill development initiatives that build a cohesive, high-performing team aligned with organizational goals.
+ Leads team experience, recruitment, onboarding/offboarding, and headcount management activities. Supports new hires and interns. Collaborates with Business Manager(s), Chief of Staff, and Finance on headcount figures and systems.
+ Manages expenses, supplies, and vendors. Tracks and reports budget and compliance. Resolves issues and escalates as needed. Partners with finance on budget planning and policies.
Qualifications
Required/Minimum Qualifications
+ 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Additional or Preferred Qualifications
+ Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
+ OR equivalent experience.
+ 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.
+ 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
