Job Summary:
The HR Representative is responsible for supporting day-to-day Human Resources operations for New Jersey employees across the Enterprise. This position plays a key role in onboarding, benefits administration, employee data management, and compliance support. The role ensures accuracy, timeliness, and confidentiality in all HR-related processes while delivering a positive employee experience. Assist subsidiary locations as needed.
Essential Duties and Responsibilities:
New Hire Onboarding & Orientation
• Schedule and conduct New Jersey new-hire onboarding, benefits, and policy orientations.
• Collect and process new hire paperwork in accordance with established procedures.
• Provide a welcoming, informative onboarding experience that ensures new hires understand company policies, benefits, and resources.
HRIS & Employee Data Management
• Input new hire and employee change data into the HRIS system and ensure accuracy of all personnel records.
• Maintain up-to-date employee information, including status changes, contact details, and job progression updates.
Benefits Administration
• Process New Jersey benefit enrollments, terminations, and changes using Selerix, ensuring all data feeds accurately to carrier systems.
• Collaborate with the HR Specialist to verify the accuracy of benefits and beneficiary changes and maintain proper documentation.
• Administer COBRA notifications through the third-party administrator for new hires and employees/dependents losing coverage.
• Manage New Jersey Commuter Benefit notifications and administration.
• Communicate and interpret benefits to employees, providing clear guidance and resolving benefit-related inquiries.
Payroll & Personnel Support
• Assist Payroll Administrator in the preparation and completion of PSRs for new hires, terminations, and employee changes (deductions, personal data, status, and benefit updates).
• Prepare PSRs for progressions and coordinate with Payroll to ensure updates are reflected in EBS following approved progression reviews.
• Process the weekly Fidelity report, submit data to Payroll, and maintain electronic records for the Enterprise.
• Maintain a current 401(k) loan and hardship withdrawal log and file supporting documents in payroll records.
Medical & Compliance Records
• Maintain electronic tracking for Respirator Clearance, Hepatitis A & B, and DOT medical records for new hires, terminations, and transfers.
• Prepare and submit medical files for new hires and employee benefit changes to the HR Specialist.
• Administer New Jersey Workers’ Compensation claims and maintain OSHA reporting log; Ensure FROI are completed and circulated to the proper recipients.
Employee Records & Documentation
• Maintain complete, organized personnel files for all Enterprise employees in accordance with record retention requirements.
• Manage electronic Employee Policy and Benefits Handbooks for New Jersey companies, ensuring updates reflect current carrier plans, design changes, and compliance updates.
• Support file maintenance, including purging and preparing older records for storage or shredding.
Other Administrative Responsibilities
• Maintain the New Jersey ID Badge Program.
• Complete employment verification requests following receipt of employee authorization.
• Prepare termination packages for departing employees.
• Process purchase orders related to HR functions.
• Provide support to the HR Department as needed, including during Open Enrollment and as backup to the HR Specialist.
Qualifications:
• 5–7 years of progressive experience in Human Resources administration.
• Strong interpersonal and communication skills with the ability to build trust and relate effectively across all levels.
• Demonstrated accuracy and attention to detail, particularly with data and numbers.
• Ability to manage confidential information with discretion.
• Proven capability to prioritize and perform in a fast-paced, time-sensitive environment with multiple deadlines.
• Proficient in Microsoft Word and Excel; ability to learn and navigate multiple HR systems.
• Strong analytical, research, and problem-solving skills.
• Valid Driver’s License in good standing, as occasional travel will be required.
Compensation & Benefits:
• Salary Range: $47,878 – $71,817 annually, based on experience and qualifications.

ADA/Physical Requirements:
• This position operates primarily in a professional office environment and routinely uses standard office equipment, including computers, phones, photocopiers, scanners, and filing cabinets.
• While performing the duties of this job, the employee is regularly required to sit, talk, and hear, and must be able to communicate effectively in both verbal and written form.
• The employee is frequently required to stand, walk, use hands to handle or feel, reach with hands and arms, and move about inside the office to access files, office machinery, and other work materials.
• This position requires constant operation of a computer and other office equipment such as printers, copiers, calculators, and telephones.
• The employee must have the ability to visually inspect and review hard copy and electronic documents. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
• The employee must be able to remain in a stationary position for approximately 50% of the time and occasionally lift and/or move up to 25 pounds.
• Use of written, verbal, and auditory communication and information sources is required to perform job duties effectively.
