Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Experience in providing customer service in a university setting as part of an academic unit, assessing student and faculty needs, and troubleshooting student and faculty issues.
+ Experience in answering multi-line phones, (e.g., including Microsoft Teams) using professional phone etiquette.
+ Experience with academic program tools such as CLSS , Banner, LOGI reporting, Watermark, Faculty Qualifications, HB 2504 syllabi/CV
+ Experience with entering course overrides, entering/updating Schedule of Classes, checking course enrollments, editing/configuring student evaluations.
+ Ability to prepare concise and grammatically correct correspondence.
+ Assist with departmental events, recruitment, and outreach.
+ Ability to work in a collaborative environment and work independently.
+ Provide programmatic support to Academic Program Coordinators to ensure the success of departmental academic programs.
+ Required to work in-person, in an office setting, between the hours of 8 AM – 5 PM, with occasional work outside normal business hours.

+ Bachelor’s Degree or equivalent experience
+ Experience with recruitment and willing to occasionally work outside of normal business hours
Job Description
The Administrative Assistant II is responsible for providing administrative, general clerical support to faculty, staff, and students within the Department of Organization, Workforce, and Leadership Studies ( OWLS Department). The Administrative Assistant II (Admin II) reports to the Administrative Assistant III (Admin III ) to support academic undergraduate and graduate programs, recruitment/outreach, and technology needs of the department. Specifically, the Admin II for the OWLS Department will fulfill the following job duties to support the Administrative Assistant III , Department Chair, Assistant Chair, and Academic Program Coordinators.
Job Duties
REGISTRATION
+ Oversee online override requests for undergraduate and graduate online courses.
+ Collaborate with academic advisors and other university offices to address student issues related to registration, probation, admission, transfer orientation dates, etc.
+ Assist Academic Program Coordinators with registration requests, student tracking, reporting, and other duties as needed.
PROGRAM MANAGEMENT
+ Maintain online student database of OWLS undergraduate students and graduate students.
+ Maintain online alumni database for both the undergraduate and graduate students for recruitment and other department data.
+ Assist with monitoring multiple OWLS email inboxes.
+ Answer student inquiries via phone, in-person, and online regarding the undergraduate and graduate programs.
+ Assist with managing student records and archival as needed.
OWLS COURSES / SOC SUPPORT
+ Assist with maintaining current course inventories for both the undergraduate program and graduate program.
+ Monitor teaching preferences for online faculty including releases, grants, and workloads.
+ Track and gather data/records of course history and online course updates.
+ Assist with CIM / PIM systems including monitoring deadlines, requests, workflows, and statuses.
+ Participate in Online Course/Faculty Scheduling and update CLSS .
+ Assist with managing Faculty Qualifications profiles and Syllabi/CV uploads to HB 2504.
COORDINATOR SUPPORT
+ Assist BAAS Coordinator with tracking, data entry, reports, memos, communications, and other duties as needed.
+ Assist Graduate Advisor with comprehensive exams, degree updates, and other duties as needed.
+ Assist PLA Coordinator with award memos, registrar updates, and other duties as needed.
OUTREACH / RECRUITMENT
+ Attend fairs, workshops, presentations, Bobcat Days, and other events (may include weekends) to grow online enrollment as needed.
+ Create content for social media.
+ Createonline program handouts, flyers, promotions, and other marketing materials to support OWLS and departmental sponsored research activities.
TECHNOLOGY
+ Compile storage of files, records, photo banks, and video of departmental events on shared drives (e.g., Department Share Drive, SharePoint, and Teams).
+ Serve as liaison to Department Technology Service Provider ( TSP ) to coordinate computer inventory control, assist with departmental meetings, and trainings. Works closely with faculty TSP volunteer and student workers on TSP projects.
+ Assist with maintaining Department Website.
+ Assist with Canvas troubleshooting for department, online students, and online faculty.
+ Assist with granting access to course shells and templates in the Canvas Vault that includes all online and AOP courses.
+ Manage Department social media accounts.
+ Assists with textbook submission process (i.e., TXST Bookstore/Follet BookSmart program).
+ Assist with Student Evaluation process for online courses.
OTHER
+ Assist with front desk and departmental needs including phone and office coverage, and student employee supervision as warranted.
+ Other duties as assigned or delegated by the Admin III (Supervisor) or Department Chair.
