Job Description
Insight Global is seeking a highly professional and business-savvy Admin/Executive Assistant to the CEO with strong experience in food manufacturing and production industry. This role requires a well-rounded individual who is exceptionally organized, technologically proficient, and capable of managing administrative, legal, and operational tasks with accuracy and confidentiality.
The ideal candidate will support the CEO in supporting daily operations, managing communications and relationships with vendors, customers, and board members, coordinating executive schedules and travel, and ensuring compliance with regulatory requirements (FDA, USDA, and Customs). This position demands strong business acumen, discretion, and a warm, professional demeanor.
Key Responsibilities:
Executive & Administrative Support
• Provide high-level administrative support to admin team prioritizing appointments, and coordinating schedules.
• Arrange domestic and international travel for the CEO and executive team, including accommodation, itineraries, and logistics.
• Coordinate board meetings and executive events, including scheduling, preparing meeting materials, and managing logistics for in-person director meetings.
• Serve as acting Board Secretary, preparing agendas, taking and distributing meeting minutes, maintaining records, and supporting board communications.
• Draft, review, and manage correspondence, presentations, and reports on behalf of the CEO.
• Maintain and organize digital and physical filing systems to ensure security, accessibility, and confidentiality.
• Manage multiple projects simultaneously with professionalism and strong attention to detail.
Business Operations & Vendor Management
• Support vendor and customer relationship management, ensuring timely and professional communication.
• Coordinate logistics and supply chain operations, including import/export documentation and Customs compliance.
Regulatory, Legal, & Compliance
• Maintain awareness of and support compliance with FDA, USDA, and Customs regulations related to food manufacturing and distribution.
• Work closely with internal and external legal teams to prepare and manage contracts, agreements, and compliance documentation.
•Maintain corporate governance records and ensure compliance with board and regulatory requirements.
Financial Support
• Support accounting and finance functions, including expense reporting, budget tracking, and financial record keeping.
• Work within ERP systems to maintain accurate operational and business data.

Skills and Requirements
• 3-5 years of experience as an Admin/Executive Assistant, ideally supporting a CEO or C-suite executive
• Proven experience in food manufacturing, production, or a related industry (required).
• Strong understanding of FDA, USDA, and Customs compliance and documentation for import/export goods.
• Experience in contract review, negotiation, and legal documentation management.
• Knowledge of logistics, vendor relations, and supply chain coordination.
• Accounting and financial acumen with experience in ADP and ERP systems.
• Highly proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and other business technology platforms.
• Exceptionally tech-savvy, organized, and detail-oriented.
• Excellent written and verbal communication skills with a warm, polished, and professional demeanor.
• Proven ability to maintain strict confidentiality and handle sensitive information with discretion.
• Strong problem-solving, judgment, and time management abilities. • Bachelor’s degree in Business Administration, Accounting, Legal Studies, or a related field.
• Experience in board administration, corporate governance, and executive communications.
• Prior work in a regulated manufacturing or food production environment.
