This position will provide confidential administrative support for the Physical Plant Director (PPD), and Associate Warden of Administration (AWA) at the Minnesota Correctional Facility (MCF) - Shakopee. The position will maintain regulatory compliance reporting for all regulatorily Governing authorities. This includes all operating permit compliance documentation, inspections, funding, and data entry for MN-B3, recycling & waste, and other regulatory compliance data as needed.
The position will support the Associate Warden and Physical Plant Director in all aspects to support efficient operations of MCF-Shakopee. This position serves as information hub for the PPD, and AWA, to disseminate information, issue work orders, and maintain the Archibus work order system.
This position serves an important role in managing the purchase orders and budgetary needs for the physical plant and other budgets as assigned. Provide budget administration for plant operations on day-to-day activities, make budget decisions independently between blanket PO’s and EIOR’s with assistance from their supervisor if needed. Works with finance to move money between budgets that the PPD has overall budget management over.
This position is BCA Certified and responsible for processing visitor background security clearance submissions for contractors, visitors, and other service within the secured perimeter.
Minimum Qualifications
To be qualified for and considered for this position, applicants must meet all of the minimum qualifications listed below. Ensure that your resume contains descriptions of your work experiences sufficient for comparison against the requirements stated below and indicate the beginning and ending month and year for each job held.
+ Two (2) years of experience as an executive assistant, senior administrative assistant, office manager, or similar role.
+ Database management skills sufficient to update and maintain data in BCA, COMS, Criminal Justice Information System (CJIS), and offender base files
+ Customer service skills sufficient to provide prompt, courteous and accurate information on the phone, through email and other written correspondence.
+ High level of organizational skills and time management skills with the ability to manage competing priorities.
+ Skills in researching and compiling data/information.
+ Skills in computer software programs for word processing, spreadsheets, PDFs, and databases to create, modify, and protect files.
+ Communication skills (reading, writing and speaking) sufficient to read, explain and interpret a variety of documents, policies and procedures and compose and edit correspondence and reports.
+ Demonstrated problem-solving skills and use of professional judgment to resolve complex issues.
+ Proven ability to maintain confidentiality of all data and information.
+ BCA certification or the ability to obtain this certification within the probationary period.
Preferred Qualifications
The following qualifications are strongly desired of applicants seeking consideration for this position:
+ Experience using BCA, CJIS, and/or COMS.
+ Knowledge of data privacy and the Minnesota Data Practices Act.
+ Working knowledge of ARCHIBUS and the Electronic Inter-Office Requisition (EIOR) purchasing system.
+ Experience in a correctional environment.
+ Experience in developing administrative and programmatic procedures sufficient to obtain, organize, and draft materials
Physical Requirements

Additional Requirements
The selection process may include screening the top candidate(s) on their criminal history, predatory offender registration, offender associations and/or other applicable background information in accordance with Department of Corrections’ policy. Top candidate(s) must pass a criminal history check which includes successful completion of all sentencing and/or restitution requirements of law enforcement jurisdictions, including probation.
Employment history/reference checks, including incidents of sexual harassment, will also be conducted on the top candidate(s) in accordance with Department of Corrections’ policy. This may include a review of job performance and discipline records.
