    The Office & Admin Specialist Intermediate in this role functions as the Minnesota State Patrol East Metro District 2400 Receptionist, Records Manager and Suspense Coordinator. Details on each of the responsibilities include but are not limited to:

     

    **Receptionist:** Provide receptionist and customer service by answering questions and providing the appropriate information to callers, emailers, walk-ins, and District 2400 personnel/supervisors. To be the initial point of contact between the court systems, Office of Attorney General, city and county attorneys, jails and other law enforcement agencies and direct the above agencies/persons to the proper State Patrol District personnel.

    **Records Manager:** To act as librarian to implement, catalog and shelved, according to the rules of evidence, all audio, video, and photographs. Fulfill attorney and civilian requests for information and copies of reports, photographs, audio, and video recordings according to the Department of Public Safety Policy and Minnesota State Patrol General Orders, so that data is disseminated properly and to the appropriate parties.

    **Suspense Coordinator:** To research and provide accurate records for the BCA suspense files to resolve custodial and non-custodial arrest issues in the CJIS files.

    Minimum Qualifications

    + Skill in word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors

    + Knowledge of communications sufficient to present clear and concise explanations of governing rules and regulations in a manner that is understandable

    + Skill in customer service sufficient to interpret and explain program information to customers, clients, and coworkers, such as policy, procedures, eligibility requirements, application details, and payment methods

    + Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files

    + Skill in typing/keyboarding, using Microsoft Word or equivalent software, sufficient to produce documents such as emails and other correspondence in an efficient and timely manner

    + Skill in customer service sufficient to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence)

    + Skill in customer service to respectfully engage with clients, coworkers and customers, when handling difficult or complex problems and resolving escalated complaints or disputes

    Preferred Qualifications

    + Experience with SWIFT (Statewide Integrated Financial Tool System), Employee Self-Service, CAD, data privacy rules, policies and procedures

    + Database management with strong organizational and time management skills

    + Data practices knowledge or experience

    + Experience using a multi-line telephone system

    + Experience providing administrative support in Law Enforcement

    + Ability to work cooperatively with individuals from diverse backgrounds and underserved communities

    Physical Requirements

    Light: Requires occasionally moving and transporting such articles as file boxes and heavy hand tools or heavier materials with help from others and moving and transporting light objects frequently. Even though the weights being moved and transported may be a negligible amount, a job in this category may require positioning self to move to a significant degree or may involve maintaining a stationary position for extended periods.
